As our client roster and our own internal tech stack grows quickly, we need a hands-on IT professional who can keep our cloud environment, email infrastructure and security posture running efficiently. In addition, we're looking for a hands-on expert who can build, tune, and protect the infrastructure that keeps our clients' revenue-critical emails landing in the inbox-not the spam folder.
What You'll DoInfrastructure Setup & Management
• Stand up and maintain third-party ESPs (SendGrid, Mailgun, Amazon SES) and on-prem/virtual MTAs (PowerMTA).
• Configure dedicated IP pools and warm-up schedules to safeguard sender reputation.
• Spin up new domains/sub-domains, provisioning DNS (A, MX, TXT, SPF, DKIM, DMARC, BIMI, rDNS) end-to-end.
Deliverability & Authentication
• Monitor inbox vs. spam placement, bounce codes, complaint rates, and blocklists; drive swift remediation.
• Apply FBLs, feedback loops, and seed-list testing; own deliverability dashboards and alerts.
• Partner with marketing teams to optimise templates, HTML/CSS, and sending cadence.
Troubleshooting & Optimisation
• Analyse SMTP transcripts, PMTA logs, and ESP dashboards to diagnose delivery issues.
• Implement ongoing IP/domain warm-up, throttling, and list-hygiene strategies.
• Tune PMTA configs and routing rules for large-scale bulk sends.
Security & Compliance
• Enforce authentication standards (SPF, DKIM, DMARC, BIMI).
• Ensure CAN-SPAM / CASL / GDPR compliance in all sends.
• Coordinate periodic audits of sender reputation, DNS hygiene, and inbound security.
Reporting & Continuous Improvement
• Publish weekly deliverability scorecards for internal and client stakeholders.
• Stay current on ISP policy changes, new authentication protocols, and industry benchmarks.
• Recommend tooling or process changes to push inbox placement toward 99 %+.
Microsoft 365 & Exchange Online
• User / group / licence lifecycle.
• Conditional Access, MFA, and Intune policies.
• Shared mailboxes, resource calendars, transport rules.
• Retention & e-Discovery configuration.
DNS & Domain Management
• Maintain DNS zones (A, CNAME, TXT, MX, SPF, DKIM, DMARC).
• Coordinate new domain registrations & renewals.
• Implement subdomains or aliases for marketing campaigns.
Minimum Requirements- 3+ years in email deliverability, MTA/ESP administration, or related infrastructure roles.
- Proven expertise with Microsoft365, Office, SMTP, SPF, DKIM, DMARC, rDNS, BIMI and large-scale DNS management.
- Hands-on experience with SendGrid, Mailgun, Amazon SES or PowerMTA configuration and optimisation.
- Solid grasp of HTML/CSS for email and common rendering pitfalls.
- Comfortable analysing bounce logs, spam-trap hits, and feedback-loop data.
- Strong documentation habits and ability to translate complex deliverability issues for non-technical stakeholders.
- Experience integrating outreach tools (Apollo, Outreach, HubSpot) with custom domains and tracking links.
- Familiarity with Microsoft 365 or Google Workspace identity/email admin.
Nice to Have- Scripting ability (PowerShell, Python, or Bash) to automate warm-ups and reporting.
- Certifications: HubSpot Email Marketing, MTA EE, Mailgun or SendGrid Deliverability accreditation.
