POSITION SUMMARY The Education Support Specialist (ESS) provides centralized registrar and administrative support to the 8th Training Squadron (8 TS) at Schriever Space Force Base (SSFB), Colorado, and offers secondary support to 10 SOPS and 53 SOPS. The ESS manages training schedules, student tracking, classroom resource deconfliction, and administrative data entry using Patriot Excalibur (PEX) or similar training systems. Working under the Task Lead's (TL) direction, the ESS supports a range of training coordination activities and is an integral part of Aleut's training delivery capability. This position requires exceptional organizational, scheduling, and communication skills and provides administrative support to over 400 students and training personnel annually in a high-tempo military education environment. ESSENTIAL JOB FUNCTIONS Manage registrar and scheduling procedures for 8 TS training programs; coordinate with Course Contractor Representatives (CCRs) and instructors across 8 TS, 10 SOPS, and 53 SOPS. Schedule and deconflict training classrooms and facilities for all Delta 8 courses and exercises in coordination with CCRs. Support scheduling and logistics for the Instructor Qualification Course (IQC) and follow-on training, up to 11 times annually. Coordinate professional development events for staff, instructors, and students-including calendar creation, space reservations, communications, attendance tracking, and post-event record updates. Use PEX or equivalent to: Track instructor/student progress.
Update training records and generate reports. Manage daily grade sheet entries and maintain AF Form 4419s. Compile and deliver monthly reports on student throughput, instructor qualification status, room availability, and academic metrics. Schedule and coordinate Instructor Review Boards (IRBs) and SATCOM Fundamentals training ( 14 sessions/year). Support the scheduling of Orbital Systems Knowledge (OSK) briefings and coordination with external partners. Maintain training calendars and schedules across Microsoft Teams and SharePoint. Gather and compile student/instructor feedback and after-action reports. Liaise with internal and external PEX experts to optimize training system operations and troubleshoot data integrity issues. Train squadron personnel on PEX usage, report generation, and training readiness tracking. Provide briefings to leadership on student/instructor status and resource planning using PEX data. Assist with risk management, problem-solving, and resource utilization for all assigned training support duties. EDUCATION/TRAINING Required: High School diploma EXPERIENCE Required: 1+ year experience managing registrar or scheduling functions, including resource coordination and event deconfliction. 1+ year experience with a student information system (e.g., PEX) or equivalent for tracking, reporting, and record management. Familiarity working in collaborative DoD training environments with multiple stakeholders Preferred: Experience using Patriot Excalibur (PEX) for student/instructor management. Experience supporting a USSF operational unit in training administration. SKILLS/ABILITIES Strong organizational and time-management skills with the ability to manage concurrent activities. Strong interpersonal and communication skills for working with military, contractor, and civilian personnel. Skilled in Microsoft Office Suite (Excel, Word, Outlook, Teams, SharePoint). Ability to analyze data and present clear reports to leadership. Flexible and adaptable in a high-tempo, mission-driven environment. PHYSICAL DEMANDS Must be able to sit or stand for extended periods. Must be able to use a computer and related equipment for prolonged periods. WORK ENVIRONMENT This on-site position requires work to be performed onsite at a government location. The working conditions for this position may include the following: Working indoors in an office environment. SPECIAL REQUIREMENTS Must be able to pass pre-employment background screening. Must possess and be able to maintain a Top-Secret clearance with SCI eligibility. Must be cleared for base or site access. Must be a US Citizen. Position may require up to 10% travel to CONUS government facilities for training support, exchange meetings, or collaboration.
