The Document Specialist will be assigned to, and be directed by, the client for this position in Rapid City, South Dakota. The Document Specialist must have an understanding of right-of-way projects, timelines, and project requirements.
- Report to the Client Manager who is responsible for the project/assignment.
- Manage records in management and tracking systems
- Review and understand right-of-way documents and maintain easement records and documents in various database systems.
- Prepare various letters for mailout, including Introductory Letters, Survey Notification, Survey Permission, Environmental Survey Notification, and others.
- Ensure all ROW files are organized and updated.
- Verify payment calculations.
- Produce various reports for the Client as requested.
- Apply knowledge of legal descriptions and title documents to assess ownership of land and assure that all affected landowners are properly identified.
- Process all ROW documents, including title reports, ROW agreements, leases and damage releases.
- Update and maintain all ROW related forms, claims, documents, correspondence, files, records, databases, project tasks, status reports and other reports as requested by the company.
Job Requirements:
- Possess strong communication skills, attention to detail, and strong analytical skills.
- Database experience, with ability to learn client database. Pandell Land Works experience preferred.
- High School Diploma or GED required.
- Minimum of 3 years of experience with ROW documents preferred.
- Ability to communicate effectively both verbally and in writing.
- Ability to maintain orderly documentation and ROW acquisition records.
- Proficient in Windows based software and Microsoft Office applications (Word, Excel, Outlook, PowerPoint, Access) to complete document preparation, project reporting, presentations and general information retrieval.
