Job Description:
Parsons is looking for an amazingly talented Document Controller / Administrator to join our team.
What You'll Be Doing:
- Reconcile various office accounts; pay operating bills or submit appropriate documentation to the corporate office for payment. Follow up as needed to ensure timeliness and avoid late payments.
- Prepare financial reports as requested by management.
- Stay current on all project and company policies and procedures, interpreting and administering them.
- Represent the office by attending meetings with clients or others. Keep the manager informed of all pertinent actions and pending actions.
- Administer the operating budget for the project office. Provide input for initial figures; investigate, resolve, and report all variances to the Project/Operations Manager.
- Purchase and maintain an appropriate inventory of frequently used office supplies.
- Originate correspondence and reports not requiring the personal attention of the Project/Operations Manager.
- Review time reports to verify accuracy of hours worked and Job /WBS charges. Follow up to ensure timely processing of corrections. Track paid-time-off hours charged and maintain a schedule of future hours to be taken.
- Coordinate telephone changes, office moves, and optimal utilization of space and equipment.
- May supervise lower-level administrative support personnel, assign work, review completed tasks, and offer training and guidance. May provide input for, or complete, performance evaluations.
- Perform other responsibilities related to this position as appropriate.
What Required Skills You'll Bring:
- Bachelor's Degree in Accounting, Finance, Business, or equivalent.
- 10 years of experience in an administrative/financial capacity, including at least 3 years of lead/supervisory experience.
- Strong written and oral communication, organizational, and interpersonal skills. Proficiency in keyboard skills and the use of MS Windows, including related word processing, spreadsheet, and database software.
- Knowledge of company policies and procedures is preferred, along with the ability to manage multiple activities simultaneously, set priorities, and meet deadlines.
