We are looking for a detail-oriented Document Control Specialist to support electric utility programs. This role requires strong organizational skills, experience managing documentation workflows, and a proactive approach to maintaining accurate and up-to-date project records. You will serve as a key support function to ensure documentation is complete, accessible, and compliant with client and regulatory requirements.


Responsibilities

  • Maintain and organize project documentation in SharePoint and other systems to ensure easy retrieval and accuracy
  • Track and log the issuance of work orders, ensuring proper documentation of status, timelines, and requirements
  • Support internal and external team meetings by preparing agendas, distributing meeting notes, and updating document repositories
  • Disseminate program communications and document updates to subcontractors and client stakeholders
  • Perform data entry, validation, and file naming to support project tracking and audit readiness
  • Generate regular reports summarizing document status, outstanding items, and compliance metrics
  • Monitor and follow up on document submissions from subcontractors to ensure timely and accurate delivery
  • Respond to documentation-related requests from internal teams and client stakeholders
  • Assist in identifying and correcting inconsistencies or gaps in project records
  • Ensure all documentation meets quality, formatting, and version control standards

Qualifications

  • 2-3 years of experience in document control or project support roles, preferably in utilities or construction
  • Strong proficiency with SharePoint, Excel, and Microsoft Office Suite
  • Familiarity with project management tools such as is a plus
  • Experience managing large volumes of data and documents across multiple teams
  • Excellent attention to detail and ability to maintain organized file structures
  • Strong written communication skills and the ability to follow up professionally with internal and external teams
  • Ability to work independently and stay organized while supporting fast-moving project teams
