How you'll get to contribute:
We are currently seeking an experienced Document Control Specialist to join our growing Transportation and Infrastructure Division. The ideal candidate will be responsible for maintaining a controlled system of incoming and outgoing correspondence and documentation and must have the ability to understand workflow processes and create tracking and controls to support. This role may support multiple projects and may require limited travel for project-related meetings. This role is located at Newark Liberty International Airport and will be required to be on-site 5 days a week.

What you'll get to do:
- Managing and maintaining the document control systems for multiple projects.
- Process project documents and maintain document control files in accordance with project document control procedures.
- Occasional travel to attend project meetings.
- Collecting, recording, distributing, and managing meeting notes, agendas, and supporting documentation.
- Monitor emails and incoming documents for submittal and transmittal.
- Host Bluebeam sessions for project team edits.
- Interface with project personnel and clients and work effectively in a multi-discipline team environment.
- Ensure project document control standards and issued documentation meets the contract requirements.
- Maintain files for original contract plans and as-built drawings, including supplementary drawings and reference documents.
- Conducts research as required to update and maintain records.
- Prepare transmittals, distribute documents, and retrieve documents in electronic format.
- Assist the Document Control Lead, Project Controls Managers, and Project Team in all matters relative to project documents and the control and distribution of documents.
- Scanning, indexing, linking, electronic filing and distribution of documents in Bluebeam Revu, SharePoint or other Project Management Information Systems (PMIS).
- Gather, log, and distribute correspondence, technical submittals, field memos, drawing logs, project reports and photos, Requests for Information, and contract plans, specifications and change documents.
- Responsible for proper handling, storage, and distribution of protected information.
- Editing/proofing and document production for project deliverables, as needed.
- Filing, formatting, printing, binding, and labeling documents, if needed.
Who you are:
- Minimum 3 years of experience in Document Control.
- e-Builder experience on large development projects is required.
- Understanding of Port Authority of New York and New Jersey (PANYNJ) policy and procedures.
- Experience with Bluebeam Revu, Adobe Acrobat, and Microsoft SharePoint required.
- Construction Management or Engineering Degree preferred.
- Proficiency in Microsoft Office Suite.
- Experience with engineering, architectural, design and construction documents (i.e., plans, drawings, technical specifications, environmental documentation, etc.)
- Ability to multitask and communicate status and progress effectively.
- Ability to collaborate effectively with diverse teams.
- Strong communication, organizational and time management skills.
- Self-directed with the ability to work under pressure to meet deadlines.
- Attentive to details; able to prioritize and multitask; proactive.
