Job Summary:
The Document Control Specialist will be responsible for managing, organizing, and maintaining project documentation to ensure compliance with company standards and regulatory requirements. This role will support the project team by ensuring accurate and timely processing, distribution, and tracking of critical project documents.
Key Responsibilities:
- Establish and maintain document control procedures and systems for managing engineering, construction, and vendor documentation.
- Ensure all project documents (drawings, specifications, reports, contracts, etc.) are properly received, categorized, and stored in accordance with company and client requirements.
- Maintain version control and document tracking to ensure the latest revisions are accessible to project stakeholders.
- Facilitate document reviews, approvals, and distribution to internal teams, contractors, and regulatory agencies as needed.
- Utilize document management software (e.g., Aconex, SharePoint, Procore, or other systems) for electronic filing and retrieval.
- Generate and maintain document transmittals, logs, and reports to track project progress and compliance.
- Support project close-out activities, including compiling as-built documentation and final records.
- Work closely with project managers, engineers, contractors, and stakeholders to ensure document control best practices are followed.
Qualifications & Experience:
- 3+ years of experience in document control within a construction or engineering environment, preferably on major capital projects.
- Proficiency in document management systems such as Aconex, SharePoint, Procore, or similar platforms.
- Strong organizational skills with attention to detail and accuracy.
- Ability to manage multiple priorities and work within tight deadlines.
- Familiarity with industry standards and regulatory requirements related to document control.
- Excellent communication and interpersonal skills to collaborate with diverse teams.
