Primary Purpose: The PEIMS Specialist will support the PEIMS coordinator and campus PEIMS staff in the coordination of the collection and reporting of district Public Education Information Management System (PEIMS) data. The ideal candidate will have a background in inputting, training, and reviewing of the Texas Education Agency's required school auditable data and reportable information for Public Education Information Management System (PEIMS).
Qualifications:Education/Certification: College degree preferred
High school diploma or GED required
Experience: 2 years' experience collecting and entering Attendance/PEIMS data required
3-5 years' experience in a school district PEIMS role preferred
Special Knowledge/Skills: Ability to meet established deadlines.
Ability to maintain accurate and auditable records.
Ability to understand detailed written and oral instructions.
Ability to use personal computer and software to develop spreadsheets, perform data analysis, and do word processing.
Comprehensive knowledge of PEIMS Data Standards, PEIMS Submissions, Student Attendance Accounting Handbook, and Chapter 37 Discipline Guidelines.
Proficient in keyboarding, 10-key numerical data entry, and file maintenance skills.
Proficient in state school district account coding and student information system (preferably Skyward software).
Strong organizational, communication, and interpersonal skills.
Major Responsibilities and Duties:Records and Reports - Work cooperatively to support campus attendance and PEIMS staff to prepare reports, including attendance, reconciliation, enrollment/withdrawal, and other related reports.
- Prepare, review, and file district reconciliation and six-week verification reports. Distribute reports to appropriate district staff for analysis, verification, and correction. Ensure campuses are sending reports to appropriate staff for analysis, verification and correction.
- Work cooperatively with PEIMS Coordinator in conducting site audits for data accuracy and process procedures.
- Work cooperatively to support PEIMS Coordinator in running reports and verification checks on data to ensure accuracy of information. Distribute reports to appropriate campus and district staff for analysis, verification, and correction.
- Collect, verify, and file campus PEIMS and Core collection verification reports. Manage campus enrollments (NSOE), communicate with campus PEIMS clerks, principals, parents and program administration on implementation of application process and help balance campus size.
- Coordinate with district administration, campus staff, and technology department to verify and update address master during annual enrollment.
- Assist with the Pre-K application process in regards to student data including communications with parents and campus administration and monitor availability for enrollment.
- Create and correspond with campus staff via the weekly Campus Newsletter. Providing timely training reminders and encouragement.
- Liaison between parents and district, answering enrollment and transfer qualification questions. Support campuses with TREx issues and provide guidance for Leaver coding.
Training and Technical Support - Develop and provide training and support to campus and department staff responsible for processing attendance and PEIMS data.
- Attend and receive PEIMS-related information from ESC, TASBO and TEA, attend regional PEIMS workshops, attend annual TASBO Conference or training, disseminate information to other staff in a timely manner, including updates to PEIMS Data Standards.
- Provide training and support to campuses for online enrollment via Skyward and records request via Texas Record Exchange (TREx) System.
- Facilitate monthly campus staff meetings. Providing essential training, daily processes, coding and report updates as needed.
- Train and support all new hire campus PEIMS clerks and registrars on Skyward processes, entry/withdrawal processes, attendance coding, student special program coding, 6 week reports and membership reconciliation.
Other - Comply with policies established by federal and state law, State Board of Education rules, and local board policy.
- Maintain confidentiality.
- Compile, maintain, and file all reports, records, procedure/training manuals and other documents as required.
- Respond to/provide information required under Public Information Act requests.
- Travel to and support campuses in event of occasional absences of Attendance and PEIMS staff.
