Job Overview

We are seeking a highly organized and detail-oriented Dispatcher-Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing files, and facilitating effective communication. This position requires a proactive individual who can handle multiple tasks efficiently while maintaining professionalism in all interactions.

Responsibilities:

  • Manage office operations and ensure an organized filing system for documents.
  • Perform data entry tasks accurately and efficiently.
  • Provide exceptional customer support by addressing inquiries and resolving issues.
  • Maintain front desk duties, including greeting visitors and managing phone calls with excellent phone etiquette.
  • Answer company emails/customer request for services
  • Assist with administrative tasks such as scheduling appointments and coordinating meetings.
  • Utilize QuickBooks for basic accounting tasks, including invoicing and expense tracking.
  • Proofread documents to ensure accuracy and clarity before distribution.
  • Collaborate with team members to support various projects and initiatives.

Experience:

  • Proven experience in office management or administrative roles is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Familiarity with QuickBooks is a plus but not required; willingness to learn is essential.
  • Excellent phone etiquette and interpersonal skills for effective communication with clients and colleagues.
  • Proficient in data entry with attention to detail to maintain accurate records.
  • Prefer has some experience as a customer service representative/dispatcher for plumbing, HVAC or electrical company
  • Multitasking skills
  • Experience in demonstrating a commitment to service excellence.
