Sales & Revenue Generation
- Respond to all wedding inquiries promptly and professionally.
- Conduct tours of the property, showcasing event spaces and services to prospective clients.
- Proactively identify and pursue new leads through networking, marketing campaigns, social media, referrals, and bridal shows.
- Convert leads into booked events by preparing customized proposals, presenting packages, and negotiating contracts.
- Serve as the primary point of contact for wedding clients from initial inquiry through the booking phase.
- Build strong relationships with clients by understanding their vision and delivering a tailored experience.
- Schedule and lead planning meetings with booked couples to confirm event details and expectations.
- Maintain communication with clients to ensure a smooth transition to the event execution team.
- Develop and implement specific sales plans to ensure consistent revenue growth in the sales department.
- Cultivate new business by exploring untapped markets and establishing new client relationships on a daily basis.
- Maintain strong relationships with current and former clients to encourage repeat business and referrals.
- Identify and participate in relevant trade shows, expos, and networking events to expand the client base.
- Present creative, market-relevant packages and marketing strategies to boost interest and sales.
- Achieve monthly and annual future sales and budgeted goals.
- Meet regularly with the Regional Sales Director and General Manager to review performance and strategize future initiatives.
- Constantly research and analyze industry trends to ensure the club remains on the leading edge of private event offerings.
Contracting & Compliance
- Ensure all banquet contracts are properly prepared, signed by both parties, dated, and filed with appropriate deposits received.
- Present banquet contracts to the General Manager for approval before final execution.
- Ensure compliance with all company & club policies and applicable federal, state, and local safety and health regulations for event operations.
- Enforce cancellation, deposit, and payment policies as outlined in client contracts.
Event Planning & Coordination
- Collaborate with the Event Coordinator, Director of Food & Beverage and Chef to ensure accurate detailing and execution of weddings.
- Prepare and update Banquet Event Orders (BEOs) for booked weddings in coordination with the events team.
- Conduct final walk-throughs and timeline reviews with clients ahead of their event.
- Oversee the successful planning and execution of all Weddings.
- Lead weekly Banquet Event Order (B.E.O.) meetings to align with operational teams and ensure event readiness.
- Coordinate cross-functionally with operations, culinary, and service teams to deliver seamless event execution.
- Hire, oversee and assign and delegate responsibilities clearly to wedding concierge to ensure effective operations.
- Ensure timely and accurate menu development, pricing, and merchandising to align with market expectations and club profitability.
Financial & Operational Management
- Maintain accurate and up-to-date records in the club's sales systems and reports.
- Track and report on inquiries, bookings, conversion rates, and revenue goals.
- Ensure timely collection of deposits and adherence to payment schedules as outlined in the contract.
- Support in reviewing and updating wedding packages, social & corporate menus, outing packages to ensure up to date menus and pricing, and sales materials as needed.
- Establish and achieve profit objectives while monitoring food, beverage, and labor costs for all private events alongside the General Manager.
- Develop and manage department budgets, forecasts, and reports aligned with the club's financial goals.
- Proactively address guest complaints and feedback to ensure continuous service improvement.
- Develop tools and procedures to improve departmental efficiencies and modern management practices.
Internal Communication & Culture
- Participate in and contribute to weekly management meetings.
- Maintain a favorable and professional working relationship with all team members to promote a harmonious work environment.
- Represent the club positively at all times, maintaining a professional and polished appearance.
Qualifications
- High School diploma required; Food & Beverage or Hospitality Management diploma preferred.
- 2+ years of experience in wedding sales, event planning, or hospitality sales (country club, hotel, or venue experience preferred).
- Proven ability to meet or exceed sales goals and revenue targets.
- Strong interpersonal and communication skills with a high level of professionalism.
- Exceptional attention to detail, organizational skills, and a passion for hospitality.
- Proficient in Microsoft Office; experience with CRM systems and event software a plus.
- Flexible schedule with availability to work weekends, evenings, and holidays as needed.
- Strong written and verbal communication skills.
- Professional demeanor with exceptional organizational and time management abilities.
- Flexible schedule; must be available to work 40-60 hours per week including early mornings, evenings, weekends, and holidays.
