ESSENTIAL FUNCTIONS

Invictus Academy is an independent public charter school located in El Cerrito and we are seeking a Director of Operations to join our team who believes deeply that the mission, model, and values at Invictus are driving improved educational outcomes for students. Invictus is seeking a mission-driven and detail-oriented Director of Operations (DOO) to lead and manage all non-instructional operations across our campus. The DOO plays a critical leadership role, ensuring that the school operates efficiently and compliantly in support of our students, staff, and families. This individual will be responsible for strategy, systems, and daily operations related to facilities, procurement, technology, enrollment, budget, and more.

This is an ideal position for a dynamic operations professional who thrives in a fast-paced environment and is committed to operational excellence in education. We are seeking an exceptional individual who is an experienced education leader to oversee and execute the following essential job functions and professional responsibilities:

Facilities Management
  • Strategically secure and manage the school's long-term facility needs.
  • Oversee custodial, maintenance, and compliance functions to ensure a safe and operational campus.
  • Liaise with contractors and complete preventative/reactive maintenance tasks.
  • Conduct routine facility checks and manage key systems.
  • Procurement
    • Design and implement a comprehensive procurement strategy.
    • Oversee purchasing, inventory management, goods receiving, and vendor systems.
    • Create and oversee policies for contract and vendor management.
    • Manage and maintain relationships with external vendors.
    Technology Management
    • Oversee school-wide technology systems and infrastructure.
    • Supervises technology staff who manages IT accounts, hardware distribution, technical support, vendor coordination.device repairs, copier operations, and data privacy standards.
  • Student Recruitment & Enrollment / Marketing
    • Develop and execute a long-term strategy for student recruitment and retention.
    • Supervises Student Recruitment and Enrollment Manager who oversees admissions processes, marketing initiatives, and community engagement events, enrollment systems, data reporting, compliance, maintain and update the school website to reflect current programming and announcements, social media platforms to enhance community engagement and visibility, and communication with prospective families.
  • Finance and Budget Management
    • Monitor and implement systems for school-wide budgeting.
    • Process and approve invoices and reimbursements in line with the budget.
    • Book and deposit school revenue as required.
    • Oversee School Operations manager who oversees accounts payable and receivable
  • Team Management
    • Supervise and coach the operations staff to ensure a smooth execution of day to day responsibilities.
    Whole School Responsibilities
    • Support the Principal or their designee by coordinating logistics for school-wide and community events, such as cultural celebrations, 8th-grade promotion, and Back to School Night.
    • Supervise students during transitions such as arrival, passing periods, lunch, bathrooms, and dismissal.
    • Attend and participate in school-wide events including Back to School Night, Parent/Teacher conferences, End of the Year events, Grade Level Meetings, Department Meetings, Summer Professional Development, weekly Professional Development during the school year, and other assigned meetings.
    • Demonstrate proficient use of technology to communicate with staff, families, and community members using multiple school-based platforms.
    • Utilize Educational Technology platforms for curriculum development and planning.
    • Other reasonable duties as assigned by the Principal, Director of Operations, or an administrator.

    • Supervise and engage with students in-person to ensure student safety and learning.
    • Uphold and model core values, including purpose, perseverance, productivity, growth mindset, integrity, leadership, joy, gratitude, mindfulness, and kindness.
    • Perform any other reasonable duties or responsibilities as assigned by your supervisor.
    • Participate in the performance evaluation process, which is based on adherence to the outlined responsibilities and qualifications.
    • Navigate proficient use of technology.


    PUBLIC SCHOOL EMPLOYMENT REQUIRED QUALIFICATIONS
    • Bachelor's degree or equivalent work experience in education administration, operations, or a related field. Master's degree preferred.
    • Pass a Criminal Background Check through the Department of Justice.
    • Obtain a negative TB reading prior to starting employment.
    DESIRED QUALIFICATIONS
    • Bilingual in Spanish.
    • Previous experience in school operations or a similar administrative role preferred.
    • 5+ years of experience in operations management, preferably in a school or nonprofit environment.
    • Proven leadership skills with the ability to manage complex systems and cross-functional teams.
    • Strong organizational, analytical, and project management capabilities.
    • Excellent communication and interpersonal skills.
    • Proficient in Google Workspace, Excel, PowerSchool, and other operational platforms.
    • Ability to handle multiple tasks with a high degree of accuracy and attention to detail.
    • Strong communication skills, both written and verbal.
    • Proficiency in Microsoft Office Suite and other relevant software tools.
    • Ability to manage confidential student and staff information with discretion.
    WORK ENVIRONMENT AND PHYSICAL DEMANDS

    This full-time and on-site position requires sufficient mobility to report to campus, work in an office, and engage with students, families, and colleagues, with or without reasonable accommodations. The role may involve light lifting, pushing/pulling, standing, sitting, and bending for extended periods. Success in this role requires working well under pressure, meeting deadlines, and adapting to stressful and unpredictable environments. The employee must effectively prioritize and organize tasks while maintaining open and respectful communication with families and community members using school platforms and technology. Attendance and active participation in school-wide events, professional development sessions, and other assigned meetings are essential.
