About the Role:

This position oversees the managerial and administrative processes associated with the pre-event through post-event phases of an event, including event planning functions and staffing events. This role is also responsible for leading and developing the public safety, guest services, and event staffing operations of the arena.

Job Responsibilities
  • Oversees Event Services, Guest Services, and Public Safety: Event Specialists, Security/Event Staff Manager, Public Safety Guards, Event Staff etc.
  • Evaluate staff, including appraising productivity, working with employees to correct deficiencies, disciplining employees, making recommendations as to the interviewing, hiring, firing, advancement or any other change of status of employee; additionally, provide consistent feedback regarding performance, team and individual goals, and opportunities for continuous learning and development in an effort to grow staff.
  • Specific duties include generating event staffing, timely distribution of event information, timely billing, and follow-up, serving as primary event liaison when schedule dictates.
  • Responsible for managing the budget for the Events, Public Safety, and Guest Services departments.
  • Ensure production requirements, event estimates, and final billings are completed in a timely manner.
  • Create seating layouts and assist box office as needed with event on-sales.
  • Ensures the team maximizes revenue opportunities by upselling and accurately forecasting all events.
  • Coordinates with Austin Peay State University contacts to plan events.
  • Works with direct reports to review scheduled events and troubleshoot potential challenges/conflicts.
  • Leads discussions to review event complexity and proactively avoid service challenges and failures.
  • Works with overly complex or high-profile groups when financial impact will be significant.
  • Champions all standards, policies, and procedures for the Event Planning team
  • Shares plans with property leadership and ensures corrective action is taken to continuously improve guest satisfaction.
  • Develops working relationships with outside vendors and establishes prices and service agreements to enhance the event experience and to increase additional revenue opportunities for the property.
  • Responsible for providing quality customer service to general public, facility staff, promoters, and other clients.
  • Establishes customer service guidelines so employees understand expectations and parameters.
  • Displays leadership in guest hospitality, exemplifies excellent customer service and creates a positive atmosphere for guest relations.
  • Interacts with guests to obtain feedback on product quality and service levels and responds to and manages guest problems and complaints.
  • Consult with customers to determine objectives and requirements for events such as meetings, conferences, and conventions.
  • Communicates and executes departmental and property emergency procedures and ensures staff are trained in safety procedures.
  • Assign staff as needed to visiting parties, special events, and monitor traffic, parking enforcement, ticketing, and towing.
  • Plan, develop, and establish departmental operational procedures, training programs, and comprehensive security systems that will identify employees and students and track visitors, patients, and guests.
  • Control and monitor building access through development of credential system, key card access, etc.
  • Interface with local law enforcement for event staffing and criminal investigations.
  • Responsible for maintaining proprietary security organization license and staff security license records.
  • Evaluate staff performance, inquiries into and investigate matters pertaining to alleged wrongful acts by staff and customers, also will initiate and make recommendations for personnel action.
  • Other related duties as assigned.

Minimum Requirements:
  • Bachelor's degree from accredited college or university.
  • Five to seven (5-7) years of relevant work experience in event management, event planning, public safety, or related field.
  • 2 years prior management experience.
  • Strong organizational and time management skills
  • Must be an initiative-taker and possess the ability to work independently while also being able to work as a collaborative team member.
  • Solid knowledge and proficiency in Microsoft Office- Excel, Word, TurboCAD / AutoCAD, etc.
  • Must be a collaborator and can coach/mentor others
  • Ability to react quickly and calmly in emergency situations, make decisions under stress, and direct organizational workforce and resources.
  • The selected candidate must be able to work evenings, weekends, and holidays as needed.
  • As a condition of employment, qualified applicants will be subject to a background check, including a criminal history check, driving history and character references.
  • Possess a valid driver's license, possess a suitable driving history and be insurable by SS&E's insurance carrier (without conditions).

Essential Physical Requirements:
  • Occasional heavy lifting/ moving of items up to 50 lbs.
  • Exposure to bright lights, extreme temperatures, and loud noise.
