Status: Exempt, Full-Time
Salary: $82,000.10-$85,000.24

Location: Primarily based out of our Denver office at 711 Park Ave W, Denver, CO 80205. 3 days/week in office, 2 days/week remote

In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary for this position is $82,000.10-$85,000.24 annually. In an effort to increase equity and to avoid unfair bias historically associated with salary negotiations, we do not participate in salary negotiations outside of this stated starting salary range.

How You'll Help

The Administrative Director is responsible for serving as the central point of contact for the coordination of the CEO's activities, managing all organizational communications including with the board and executive committee on behalf of the President, communication with community agencies, volunteers and direct service clients. The Director may attend meetings on the executive leader's behalf and assist with implementing various strategic planning processes across the organization. This position will be responsible for maintaining the company calendar, board room scheduling, volunteer database, managing board and executive committee meetings, taking minutes, ordering office supplies, managing business systems, and managing other staff and agency meetings as deemed appropriate. This position will operate as a thought-partner on a variety of strategic and operational initiatives, internal and external deliverables, and special projects, working will work closely with the Executive Leadership Team and key constituents across the organization.

Essential Responsibilities
  • Primarily responsible for scheduling and coordinating key contacts for the CEO and, at times, the Executive Team. Manages inbound and outbound communications, including email, phone, and hard copy mail, ensuring seamless and timely responses. Coordinates CEO's activities, including preparation of relevant meeting documents and briefing material.
  • Ensures the CEO is engaged in appropriate internal dialogues, and that the CEO is regularly briefed on Mile High United Way activities across the organization including program activities, internal meetings, and sponsored events.
  • Serves as key liaison between the Board of Trustees and the Executive Office. This includes responding appropriately to all information requests by Board Members on behalf of the President and CEO.
  • Composes complex written correspondence, presentations, newsletter pieces and reports. Screen incoming correspondence and respond to routine external correspondence independently as directed.
  • Transforms general direction into action, managing multiple deliverables in the face of some level of ambiguity from executive leaders and teammates.
  • Manages all aspects of assigned projects from onset through completion of agreed timelines, scope and budgets including planning, reporting, researching, and analyzing data.
  • Supports the CEO by ensuring the critical activities, initiatives, and day-to-day operations of the CEO are fully aligned and advancing as necessary.
  • Oversees and manages the administrative assistant team, ensuring efficient support and alignment with organizational priorities
Additional Responsibilities
  • Coordinates, manages, and supports all functions, proceedings and events for the Board of Trustees, its Executive Committee, Governance Committee, and other subcommittees as established.
  • Oversees the compilation of documents and presentations in collaboration with other teams, to determine appropriate presentation content, messaging and deliver.
  • Manages the budget of the Executive division, documents and reconciles expense accounts of the President/CEO.
  • May represent the CEO in selected interactions with team members, executive leaders, the Board of Directors, government representatives and the community.
  • Participates as a member of the Leadership Team and facilitates cross-team coordination of projects and assignments.
  • Maintains discretion and confidentiality in relationships with all board members.
  • Adhere to compliance and applicable rules and regulations set forth in the bylaws regarding board and committee matters, including advance distribution of materials.
  • Collaborates with executive team members to determine and prioritize business strategies
What You'll Need: Education, Experience, and Skills
  • Bachelor's degree in business administration or related field preferred.
  • Minimum 5 years of executive assistant experience with a progressive medium or large organization preferred or related experience.

  • Proven success in a project coordination role
  • Nimble business mind with a focus on developing creative solutions.
  • Strong project reporting skills, with a focus on interdepartmental communication
  • Excellent cross-group collaboration and communication skills
  • Manage confidentially without exception; earn credibility by demonstrating the ability to achieve results and exhibit strong operational skills.
  • Strong verbal and written communication skills, including proficiency in grammar, editing and proofreading.
  • Excellent interpersonal skills, including the ability to build and manage relationships with all staff, Board of Directors and others within the organization.
  • Ability to create effective tracking and management systems and to follow up and carry tasks through to successful completion.
  • Ability to take initiative and work with minimal guidance.
  • Can manage competing demands comfortably.
  • Ability to convey necessary information accurately, listen effectively, and ask questions when clarification is needed.
  • Ability to complete projects accurately and within deadlines
Computer Skills:
  • Advanced Microsoft Office Suite, including strong Excel skills.
Working Environment: Typical office environment, with occasional local travel for out-of-office meetings and events.

Physical Activities: Ability to operate a computer for extended periods of time.
