Development Operations Administrator

Job Overview

Reporting to the Chief Development Officer (CDO), the Development Operations Administrator plays an important role managing the Development budget, human resources, and other operation functions while providing administrative and donor support to the Development Team. This position is full-time: 40 hours per week, 12 months per year and pays $22-$24/hr.

Duties and Responsibilities
  1. Serve as the lead Development Operations Administrator and meets regularly with other operational administrative colleagues to ensure collaboration and coordination of duties.
  2. Manage office processes, policies, and communication ensuring that staff have the tools to execute their job functions effectively.
  3. Create and submit Oracle expense reports, request purchase orders, and provide Oracle training updates for the Development team.
  4. Support donor engagement needs in collaboration with Donor Relations and other departments as needed, including donor mailings, and stocking and distributing marketing materials (print and electronic).
  5. Manage the Development budget.
  6. Oversee office space and technology needs including, issuing work orders and ordering supplies.
  7. Create and track CDO written gift acknowledgements and collaborate with Donor Relations regarding Regional Director donor acknowledgements/mailings.
  8. Plan department meetings, work retreats, training sessions, and staff events in collaboration with departmental staff.
  9. Coordinate telephone coverage and office supply inventory in office and storage room areas.
  10. Generate monthly CRM reports, and update metrics, as needed.
  11. Provide direct support to the CDO and Human Resources during job searches for Development.
  12. Manage and coordinate Development Outlook calendars.
  13. Proactively assist other departmental colleagues in Advancement, as needed.

Qualifications
  • Bachelor's degree preferred.
  • A minimum of four (4) years in administrative support is preferred.
  • Proficient in Microsoft Office (specifically Outlook and Excel).
  • Strong verbal and written communication skills.
  • Strong managerial and collaboration skills.
  • Ability to handle confidential information with discernment.
  • High attention to detail.
  • Ability to organize and multi-task in a fast-paced office setting.
Physical Requirements

The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motions, handle or feel, and stand, walk, reach, bend, or lift (up to) 15 pounds.
