The Coordinator oversees financial aspects of Breakthrough T1D's partnership with Ford Motor Company, known as the Ford Global Action Team (FGAT). This position works closely with the Breakthrough T1D national Finance team as well as the Director of Corporate Operations.
Primary responsibilities include all financial activities related to FGAT fundraising revenue and expenses; financial reporting; donor acknowledgment and various administrative activities. This role will also assist at fundraising events, and other activities as needed.
This position is remote with 1 to 2 days a week on-site.
RESPONSIBILITIES: - Oversee tracking of all revenue, expenses and other financial records for the Ford Global Action Team which includes ensuring accurate and timely recording of data relevant to fundraising events and initiatives, leadership, volunteers, and donors.
- Provide administrative support for fundraising activities, including tracking all donations, maintaining records, and preparing financial information needed for meetings.
- During event season (mostly summer months), assist on-site to ensure events run smoothly. Responsible for receiving and depositing any on-site funds.
- Coordinate donor acknowledgment letters with Donor Support and in compliance with Breakthrough T1D policy to ensure they are sent out in a timely manner.
- In conjunction with the Finance team, manage the "seed money" program for Ford volunteers, including handling requests, securing necessary authorizations, and the issuing of declining balance cards. Conduct monthly auditing to ensure that all expenditures are appropriate and that original receipts are received and submitted to Finance, and the accounts are paid appropriately.
- Track all FGAT revenue streams, including but not limited to deposits made in all FGAT bank accounts, QwickPay, Authorize.net, Stripe, portal payment, P2P platforms and funds received at national and at local chapters.
- Ensure that all revenue is coded to the appropriate FGAT site/team/initiative.
- Track all FGAT budgetary and pre-paid expenses and ensure that expenses are netted from gross revenues for each FGAT site/team. Provide updates as requested by Ford volunteers, chapter staff and national staff
- Oversee the preparation of all financial reporting and record keeping which includes puling financial data for various meetings, presentations, and the annual report.
- Ensure that the FGAT effort is complying with Breakthrough T1D Accounting policies and work closely with FGAT management to ensure a system of checks and balances are in place and no material weaknesses are found during internal audits.
- Ensure confidentiality and security of all proprietary information.
- Utilize web-based tools to record FGAT cash receipts/deposits, and access FGAT Financial Reports.
- Prepare documents (invoices, expense reports, etc.) for routine submission to the Finance team for processing.
- Support and maintain the vision, mission, priorities, and values of Breakthrough T1D. Understand the strategic direction and purpose of the FGAT and conform to defined strategies and business needs
- Perform other duties as assigned.
REQUIREMENTS: - 4 years of work experience including strong accounting and administration skills
- College degree or equivalent combination of education and experience
- Knowledge of and experience in bookkeeping procedures
- Proficient in Microsoft Office software (Outlook, Word, Excel, PowerPoint & Access) with a high level Excel Knowledge (look ups and pivot tables).
- Proficient in using different systems and platforms - Salesforce and ERP (Oracle, MSD 365), QwickPay, Authorize.net, Stripe preferred.
- Excellent written, oral, and communication skills
- Detail-oriented and strong organizational skills.
- A team player with the ability to interface with all levels of staff and volunteers. Must develop and maintain relationships.
- Effectively multi-task, establishes priorities, and work in a fast-paced environment. Highly efficient in time management, can meet deadlines under pressure and able to work independently.
- Ability to remain calm under pressure.
- Ability to travel locally required and occasional overnight travel as needed.
- Occasional evening and weekend work required as needed.
