Position Overview
The Development Data Manager is a key member of the Development Department at The Overlake School, supporting fundraising and engagement efforts through expert management of the school's donor database, Veracross. This role oversees all gift processing, constituent recordkeeping, donor engagement tracking, and reporting. As the department's data lead, this position also supports campaign strategy through data analysis and serves as a liaison to other departments to ensure data integrity school-wide.
Additionally, this role supports event planning, outreach, and meetings; manages Development portals and platforms; and partners on stewardship and prospect research. The ideal candidate is detail-oriented, technology-savvy, collaborative, and aligned with Overlake's mission to champion student potential and values of compassion, curiosity, inclusion and equity, integrity, and mutual respect.
Key Responsibilities
- Serve as Development's data lead across all fundraising campaigns and engagement efforts
- Promptly and accurately enter pledges and gifts, including corporate matching gifts, stock gifts, and wire transfers; serve as primary department contact for gift inquiries and donor questions, including planned giving requests
- Generate timely donor acknowledgment letters, pledge reminders, and related communications
- Reconcile gift records with the Business Office and prepare monthly and year-end reports
- Maintain up-to-date constituent records and oversee Veracross Development/Solicitor portals; enter solicitor assignments, segments, opportunities, notes, target ask amounts, etc.
- Track and manage donor engagement via moves management in Veracross
- Create and analyze data queries and reports to support fundraising goals and strategy
- Conduct prospect research and manage wealth screening with platforms such as DonorSearch; prepare donor prospect profiles
- Generate and ensure accurate donor recognition in reports, campaigns, and communications
- Prepare campaign progress reports for the Director of Development, board committees, school leadership, and volunteers
- Support segmented outreach for mailings and email communications; coordinate with Marketing and Communications as needed
- Assist with the planning and execution of, as well as attend, signature events such as Owls Night Out, the All-School BBQ, and All-Class Reunion; support all department events with registrations, nametags, RSVPs, calendar and resource reservations, and follow-up
- Utilize and manage tools such as Greater Giving, Square, and DonorSearch for event and donation tracking; ensure integration with Veracross
- Maintain alumni data integrity and portal access in collaboration with the Alumni Program
- Support department meetings as requested via Veracross calendar, resource reservations, and invitations as needed
- Manage Development documentation, training materials, and process improvements
- Coordinate with state and national systems regarding fundraising compliance (e.g., gambling license, out-of-state solicitations)
Community and Collaboration
- Actively support the mission, vision, and values of The Overlake School, including a commitment to diversity, equity, and inclusion
- Participate in the life of the school through key events, meetings, and committees
- Serve on the school's Data Leaders Team and Power Calendar User group to align data practices
- Collaborate closely with the Information Literacy and Technology Team to modernize data systems, including application of AI tools to workflows
- Mentor interns and colleagues on Development data tools and practices
- Contribute to a positive team culture and shared responsibility for Development goals; operate with a team first attitude
Desired Education and Experience
- Bachelor's degree or equivalent experience
- Two years of experience in nonprofit advancement or fundraising
- Experience with Veracross or similar donor database system
- Familiarity with independent school settings is a plus
Desired Skills and Abilities
- Strong proficiency with Microsoft Office Suite and database platforms
- Ability to manage complex data systems and perform mail merges and exports
- Excellent organizational, project management, and communication skills
- Detail-oriented with strong analytical thinking
- Comfortable learning new technologies and exploring AI tools
- Ability to maintain confidentiality and handle sensitive information
- Collaborative, self-starting, and mission-driven
Physical Requirements
- Ability to communicate over the phone
- Ability to sit and use a computer for extended periods (up to 8 hours per day)
- Ability to lift and move items up to 25 pounds
- Ability to work occasional evenings and weekends
- Some local travel for development events may be required
