POSITION SUMMARY The Deputy Director of Operations for the National Security Division (NSD) supports the Director in planning, directing, and coordinating both operational and administrative functions with limited supervision. This position plays a critical role in maintaining seamless communication between the Director, program support staff, Independent Contractors (ICs), and other internal departments and divisions. The Deputy Director is responsible for ensuring the timely execution of special projects assigned by the Director, proactively resolving operational issues, and aligning resources with program needs. Daily collaboration with the support staff is essential to identify challenges, allocate appropriate resources, and elevate concerns to senior leadership as necessary. Additionally, the role supports training operations by working closely with the Training Team to ensure class rosters are accurate and assists in staffing "special" training classes with the most qualified ICs. RESPONSIBILITIES Direct supervision of the support staff: 5 FT / FTE and 2 PT / FTE Write performance reviews and administer feedback to your direct reports Ensure all actions remain within contractual guidelines Provide coverage with the Client when D/NSD is unavailable Travel to the Moyock facility to meet with and manage the Support Staff as needed Manage the CONCUR accounting team to ensure timely pay Assist D/NSD and Project Control (PC) in preparing monthly MCSR/Invoice for submission to the Client Assist MSS with duties as assigned to further business opportunities Review and maintain an appropriate hiring pool of qualified CONDORS Ensure training classes are being filled to capacity Assist training staff with ATF reviews and logistic oversight for inventory to include weapons and ammunition Effectively manage and execute a wide variety of tasks including, but not limited to: coordinating executive level meetings and events and preparing presentations Participate in executive meetings as required, prepare confidential meeting minutes and track actions. Coordinate NSD events such as offsite training and Client visits Serve as project leader for special initiatives as assigned by the D/NSD. Collaborate with the program ICs in the development and implementation of various innovative approaches to communicating key initiatives and strategies in support of the programs goals and objectives Prepares confidential correspondence, reports, and other complex documents Manages responsibility for archiving, records retention, data backups, and confidentiality of records Provides direction, coaching, and overall management to ICs as needed. Sets goals and deadlines for the program as needed Works closely with Accounts Payable to address any outstanding pay issues Work with procurements team to obtain quotes and submit requisitions as needed Work closely with Risk Management and manage all DBA claims Works closely with Constellis IT department to ensure all standards are met and IT support is provided to OCONUS sites. Other duties as assigned REQUIRED QUALIFICATIONS A Bachelors Degree At least 10 years working with NSD's classified customer Minimum of 10 years of related experience supporting management. High level of effective interpersonal and communication skills, with ability to correspond with senior level clients, executive and others verbally and in writing. Must have strong working ability with MS Office suite and file administration using SharePoint and other software. Desired skills include familiarity with Deltek, Concur and ADP. Ability to make administrative and procedural decisions on sensitive and confidential issues. Have the ability, willingness and initiative to organize and lead collaborative efforts among a wide range of individuals and departments. Business work hours are Monday-Friday from 8:00 am to 5:00 pm, however some extended or weekend hours may be required. Location must be in the Northern Virgina area. PHYSICAL REQUIREMENTS May be required to lift and carry awkward items weighing up to 25 lbs. Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday.
