Description Under general direction, the Deputy Clerk III performs a variety of administrative and supervisory functions to process, organize, categorize and maintain official records, documents, exhibits, and reports of Hays County, County Court at Law cases and files, and of the County Clerk of Hays County office. The Deputy Clerk III provides services to the general public and to all of the operating departments and agencies of the County, including providing assistance in the County Court at Law courtrooms ensuring case file documentation is available and maintained in an effective and efficient manner. The work involves treating a variety of problems and situations. The product of the employee's work affects the operation of the department that may include the well being of persons that are not employed in the department.
Individuals in this position serve at the pleasure of the current elected official.Responsibilities- Assists the Chief Deputy with training and work direction to subordinate staff.
- Assists customers and callers regarding County Clerk filings and directs them to the appropriate office or staff.
- Receives payments and issues receipts for documents filed for probate, civil and criminal cases and for recording.
- Reconciles payments received on a daily basis.
- Sends, receives, and maintains file documents, correspondence, and exhibits, and copies and certifies documents.
- File marks documents as they come in and distributes them to the appropriate staff.
- Files new documents and enters information into computer system.
- Performs searches and locates and retrieves record and information for attorneys, District Attorney staff, other county staff, and the public.
- Performs routine office procedures such as answers telephone, issues receipts, process mail, photocopies, and locates files for the general public.
- Performs other duties as assigned.
Education and/or Experience Any combination of experience or training may be substituted on a year for year basis. - Requires High School degree or equivalent.
- Requires three years experience in a judicial or legal process, office management or closely related field including six months lead work or supervisory experience.
Other Qualifications, Certificates, Licenses, Registrations - Class C driver's license.
