Position Overview

Under minimal supervision, provides exceptional customer service and record keeping for individuals who have business to conduct with the Montgomery County Common Pleas Court (General and Domestic Relations Divisions) and the Second District Court of Appeals. This position reports to the Supervisor of the department or the Assistant Chief Deputy -Operations.
Summary of Job Duties

ESSENTIAL FUNCTIONS
Specific work will vary based on the assignment but will include the following types of work:
  • Complete quality assurance reviews of journalizing data input to ensure that the Clerk of Courts system database accurately reflects the status and progress of each case file to date, including verifying information on the parties involved, hearing, case status, and disposition; ensure that all documents and activities in the file have been entered into the system; and, filing the case in the appropriate location.
  • Prepare standard reports at the appropriate time, including running error reports and correcting errors found, verifying accuracy against logbooks, processing and delivery of electronic filing reports, and completing status reports; prepare non-standard reports upon request based on available information in the court database or files and instructions from management staff.
  • Receive and review a variety of documents to ensure compliance with court rules, policies, procedures, and practices before initiating new case and/or creating a docket entry; interpret and summarize the purpose and content of documents, make timely and accurate docket entries, and take appropriate actions.
  • Review electronically filed legal documents to determine acceptance or rejection; review data elements, filing requirements, document types, format and content of electronically filed documents to ensure compliance with court rules, policies, procedures and practices.
  • Process and distribute paperwork; take appropriate actions for more complex legal actions that require in-depth knowledge; process and issue search warrants, jail release forms, warrants, orders for sealing records, bonds, and garnishments; interpret and summarize the content of documents and make timely and accurate docket entries; attend Court when necessary to serve indictments or testify.
  • Utilize in-depth knowledge of the Court rules, policies, procedures, and practices in order to serve as a "floater" between departments (Civil, Criminal, Domestic Relations, and Second District Court of Appeals); understand the relationships among the various functions of the department and utilize that understanding to recommend process improvements.
  • Collect fees and payments; maintain accurate records as necessary and determined by the Clerk of Courts.
  • Provide assistance to colleagues when necessary due to scheduling, volume, or staffing requirements.
  • Other duties as assigned.
Minimum Qualifications and Requirements
High school diploma or equivalent

Demonstrated proficiency in all of the stated knowledge, skills and abilities

(Usually obtained through a minimum of one (1) year of direct experience in a similar environment)

Seasonal Employees: Benefits include Sick Leave accrued at 4.6 hours for every eighty 80 hours in active
pay status. Seasonal employees scheduled to work 40 hours during their period of employment will accrue vacation in the same manner as regular full-time employees and can use their vacation after completion of twenty-six (26) bi-weekly pay periods in active pay status. Part-time Seasonal employees (scheduled to work less than 40 hours) do not accrue vacation.

Intermittent and Temporary Employees: Long-Term Sick Leave accrual is based on hours worked.
