JOB SUMMARY: Ensure compliance with all international documentation requirements, company policies and protocol, to secure requisite documentation for shipboard employment. Support and maintain adequate manning levels, and provide all logistical services, support, and information to joining crew members.

DUTIES & RESPONSIBILITIES:
  • Manage the process to collect and verify that all documentation for joining crew have been received and is compliant with international and local requirements.
  • Record and update all personal crew information in the HR system of record, including but not limited to passport, visa, and medical information as required.
  • Coordinate with all global hiring partners, joining crew members, U.S. and foreign embassies/consulates, port agents, as well as shipboard and shoreside team members to ensure that all pre-employment documentation requirements have been met.
  • Maintain the joiners report and projected crew movement 6-8 weeks in advance.
  • Coordinate and confirm all logistic requirements for joining crew, which includes air transportation, ground transportation and hotel arrangements. Manage crew readiness status in MAPS prior to deployment.
  • Provide administrative support for the crewmember staffing function to help ensure vessels are appropriately staffed according to scheduling plan.
  • Liaison with the Assignment Specialist on any changes needed due to readiness delays and/or any potential crew delays.
  • Coordinate with the assignment team, travel team and global hiring partners to research and procure the most cost-effective travel, while maintaining compliance with established policies, and applicable regional visa restrictions. Manage travel requirements and needs for crewmembers scheduled to join vessels.
  • Collaborate with Assignment Team, Travel Team, Port Agents, Global Hiring Partners, People Excellence Operation Managers and Crew Pursers onboard to help facilitate smooth and efficient crewmember movement.
  • Communicate daily with Shipboard People Excellence Operation Managers and Crew Pursers on any variances between manifests, restrictions and crewmember joining status.
  • Investigate all cases where crew members are not able to join a ship according to schedule. Escalate irregular situations for resolution as needed.
  • Perform other job-related functions as assigned.
QUALIFICATIONS

DEGREE TYPE: High School Diploma

EXPERIENCE:
  • 0-1 year business/administrative experience is required.
  • Cruise line experience is strongly preferred, specifically as it relates to staffing and dealing with large international crew movement. 6 months experience ensuring compliance with global visa requirements, travel documents and medical terminology is preferred.
COMPETENCIES/SKILLS:
  • Basic knowledge of the Microsoft Office Suite with special emphasis on Outlook, Word and Excel is required.
  • Intermediate to advanced verbal and written level of English is required.
  • Good written and verbal communication skills required to effectively interact with other teams.
  • Excellent organizational skills to meet multiple deadlines and high-volume crew movement while working in a fast-paced environment.
  • Ability to shift priorities based on scheduling/business demands.
  • Must have the ability to work autonomously with little supervision.
  • Knowledge of general global geography to facilitate travel logistics needs and mitigate travel costs.
  • Knowledge of or ability to gain familiarity with CBA's (Collective Bargaining Agreements) and contracts of employment.
  • Ability to handle and maintain confidential information.
