Position Overview

The Department Coordinator, Beauty plays a vital role in supporting the operational and administrative functions of a high-performing, fast-paced beauty department. This position requires a high level of organization, attention to detail, and strong communication skills. The ideal candidate is proactive, level-minded, results-oriented, and thrives in a collaborative retail environment. They will act as a liaison between internal teams, external vendors, and management to ensure smooth coordination, consistent execution, and exceptional service delivery.


Key Responsibilities

  • Pull and distribute weekly and monthly productivity and sales reports to internal leadership and multiple vendors
  • Maintain department trackers including headcount, promotional event data, and spa room usage across multiple brands
  • Write and manage the centralized floor schedule for the Beauty team
  • Actively maintain and update the floor census
  • Coordinate with People Services to onboard new hires and process commission adjustments
  • Liaise with the Beauty Buying Office to organize product knowledge clinics
  • Coordinate event logistics including early entry passes, gratis sealing, and communication with vendor managers
  • Monitor and maintain supply inventory for the department
  • Partner with cross-functional teams (e.g., Bridal, VIC, and Executive teams) for special projects and gifting needs
  • Ensure timely follow-through and execution of all tasks and projects

Qualifications

  • 2+ years of administrative or coordination experience in retail or a related field; beauty industry experience is a plus
  • High proficiency in Microsoft Excel (including pivot tables and v-lookups)
  • Strong organizational and multitasking abilities in a fast-paced environment
  • Professional, energetic, and centered with a customer-first mindset
  • Reliable, accountable, and results-driven with excellent attention to detail
  • Strong written and verbal communication skills
  • Proven ability to work cross-functionally and manage multiple priorities
  • Monday-Friday, 9:30 AM - 6:30 PM (holidays and occasional weekend coverage as needed)
