SUMMARY: Provide executive-level administrative support to the Director of Operations and other members of the Property Management (Operations) Department for a Colorado-based commercial real estate management firm.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
As Department Administrator & Office Manager, you will support a small but dynamic commercial property management team and the entire office by handling diverse administrative tasks and special projects. You will be an important member of the team and critical to its success in providing exceptional service to our tenants and community. Your role will require adaptability, precision, and a proactive mindset. You'll help foster a service-oriented environment, strengthen vendor and tenant relationships, and uphold CFPM, LLC standards and systems.
The ideal candidate is highly organized, technologically adept, and thrives in a fast-paced environment where responsibilities vary daily. This is a long-term, hands-on role suited for someone who values teamwork, is confident to share new ideas and offer process improvements and takes great pride in their work.
CORE RESPONSIBILITIES
- Provide high-level administrative support to the Director of Operations and property management team, including contracted service partners (e.g., security, janitorial).
- Prepare, format, and proofread documents including correspondence, reports, spreadsheets, and presentations using Microsoft Word, Excel, and Outlook.
- Create annotated documents and maps using Adobe Acrobat Pro (proficiency is a plus).
- Manage calendars, coordinate meetings, and schedule appointments.
- Review daily security reports, extract relevant information, and take appropriate follow-up actions (e.g., feedback, pass-down documentation).
- Promptly and accurately monitor and dispatch tenant service requests and work orders.
- Maintain and update tenant and vendor records, as well as building-specific data.
- Assist with tenant onboarding/offboarding: welcome letters, key distribution, and system updates.
- Maintain and organize digital and physical filing systems with consistency and accuracy.
- Serve as liaison between tenants, vendors, and internal staff to ensure professional and responsive communication.
- Build and maintain long-term professional relationships with tenants and service providers.
- Conduct occasional property tours and inspections.
- Support general office operations: phone coverage, guest reception, mail handling, kitchen upkeep (e.g., stocking supplies, making coffee).
- Participate in administrative initiatives and special projects as needed.
- Monitor team communication threads (e.g., text messages) during business hours using a company-provided or reimbursed personal phone.
QUALIFICATIONS
- Exceptional attention to detail and follow-through.
- Self-motivated, resourceful, and capable of working independently.
- Ability to manage multiple priorities with professionalism and accuracy.
- Proficiency in Microsoft Office Suite (advanced formatting and data functions in Excel preferred).
- Adobe Acrobat Pro experience is a plus.
- Strong written and verbal communication skills.
- Minimum 5 years of executive or high-level administrative support experience, ideally in commercial real estate or property management.
- Professional demeanor and collaborative work ethic.
- Willingness to adjust responsibilities or work overtime as business needs require.
