After Brightline Florida completed the first passenger rail system connecting Miami and Orlando, Brightline West was formed to connect Las Vegas and Southern California through the nation's first true high-speed, electric passenger rail system. Reaching speeds of more than 186 miles per hour, this 218-mile high-speed rail service will take passengers from Las Vegas to the Greater Los Angeles area twice as fast as the normal drive time.

SUMMARY

We are seeking an experienced Department Administrative Assistant to join our Brightline West team. This individual will be responsible for supporting a staff of experienced design and construction professionals through the performance of various tasks and assignments. This individual will be a team player with a collaborative approach, be self-directed and accountable, and be able to complete assignments with limited oversight. She/He will have excellent communication skills, a positive can-do attitude, and be flexible in an ever-changing environment.

PRIMARY RESPONSIBILITIES
  • Maintain smooth office operations through effective communication and strong organizational skills, often requiring discretion with sensitive information.
  • Maintain office efficiency by utilizing office systems, policies, and procedures, and working collaboratively with other administrative personnel.
  • Support the document management system, as needed, including entering information, forwarding contracts, and monitoring correspondence to meet deadlines.
  • Respond to management's requests and queries with professionalism and discretion.
  • Participate actively in the planning and execution of company events.
  • Provide comprehensive administrative support, including managing calendars, travel schedules, correspondence, maintaining records, and organizing meetings.
  • Maintain document management files and records, including preparing reports, assisting with presentations, and other documents, and maintaining accurate filing systems.
  • Develop and sustain a high level of professionalism among staff and clientele.
REQUIRED AND PREFERRED EXPERIENCE
  • Proven senior administrative assistant experience.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and problem-solving skills with attention to detail and accuracy.
  • Excellent organizational and time management skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Knowledge and experience with office management systems, policies, and procedures.
  • Proficiency in MS Office, with the ability to become familiar with company-specific programs and software.
  • Be readily available early mornings, as well as some evenings and weekends.
  • Experience within a fast-paced environment is a plus.
