The Database Manager for the Development Office will be tasked, primarily, with the management of the Development database (Raiser's Edge NXT). This critical role is responsible for ensuring the integrity, accuracy, and security of all constituent data and for providing essential support to the Development team in their efforts to deepen relationships with the School's constituents and to cultivate and steward donors.

Essential Duties and Responsibilities:

Database Management & Maintenance:
  • Serve as the primary administrator for the Development database (Raiser's Edge NXT), including user management, security protocols, and system configurations.
  • Consult with the Director of Advancement and Director of Annual Giving to audit and cleanse data to maintain integrity, identify duplicates, and correct inconsistencies.
  • Develop and implement data entry standards and procedures for all Advancement staff.
  • Manage and troubleshoot integrations with other systems (e.g., myRPCS).
  • Stay current with Blackbaud's database updates, new features, and best practices.
  • Responsible for timely and accurate data entry, gift processing, deposits, gift acknowledgments, pledge reminder preparation, and summary and analytical reporting, working closely with the Database and Gift Processing Specialist.
  • Have a familiarity with platforms used for event registration in the Development Office.
Reporting & Analysis:
  • Generate standard and custom reports to support fundraising and alumnae relations activities, including but not limited to donor lists, giving summaries, campaign progress, and prospect tracking.
  • Assist the Development team in analyzing data to identify trends, segment donors, and inform strategic decision-making.
  • Develop and maintain dashboards and visualizations to communicate key fundraising metrics.
  • Respond to ad-hoc data requests from the Development team and school leadership.
  • Generate lists for mailings print and email , phonathon, event invitations, etc. for the Development and Communications Offices and other Offices, as needed.
  • Generate data and merges for pledge reminders (2-3 times a year)
  • Update data at the start of the fiscal/academic year to reflect 'turn-over' of constituent status, target fundraising goals, and other data points.
  • On an ongoing basis update records for solicitation status changes, address updates, births/deaths, etc.
  • Pull data lists for the annual report.
  • Responsible for compiling data for and completion of the annual DASL report and the School's 990 form, in collaboration with the Business Office.
  • Generate information to prepare donor end-of-tax year reports
  • Add important background information to the database for students, alums, and others (e.g. scholarships received, class notes, awards received, sports played, activities participated in).
  • Pull data and assist with the preparation of endowment reports.
  • Add appeals to donor records.
Training & Support:
  • Provide training and ongoing support to Development staff on database usage, data entry protocols, and reporting capabilities.
  • Develop and maintain user documentation and training materials.
  • Serve as the point of contact for database-related questions and issues.
Compliance & Confidentiality:
  • Adhere to all data privacy regulations and school policies regarding the handling of sensitive constituent information.
  • Maintain the confidentiality and security of all donor records.
Project Support:
  • Participate in special projects related to database upgrades, data migrations, and new technology implementations.
  • Collaborate with other departments as needed to ensure data consistency and integration.
Other Duties:
  • Perform other duties as assigned to support the Development Office.
  • Work with the Director of Alumnae Engagement to ensure that names are correct in Class Notes
Qualifications:
  • Bachelor's degree required.
  • Minimum of 5 years of experience in database administration, preferably with Raiser's Edge NXT. Experience with other fundraising CRM systems will be considered.
  • Proven ability to manage and maintain complex databases with a high degree of accuracy.
  • Strong analytical and problem-solving skills with the ability to interpret data and generate meaningful reports.
  • Excellent attention to detail and organizational skills.
  • Strong written and verbal communication skills, with the ability to explain technical concepts to non-technical users.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workplace.
  • Ability to work independently and as part of a collaborative team.
  • Demonstrated commitment to maintaining confidentiality and ethical standards.
  • A genuine interest in supporting the mission of an all-girls educational institution.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Ability to work occasionally on nights and weekends.
  • Ability to work in-office (this is not a remote position).
Preferred Qualifications:
  • Experience with Crystal Reports or other reporting tools.
  • Experience with wealth screening and prospect research tools.
Work Conditions:
  • The Database Manager position is a full-time, exempt 12 month position.
  • The individual in this position is expected to work during all hours as may be assigned by the School and during other hours for events and activities.
  • The Database Manager is expected to perform their job duties on campus, unless otherwise permitted by the Head of School.
Compensation Disclosure: In accordance with Maryland's Equal Pay for Equal Work Act, we are committed to providing transparent wage information for all posted job opportunities. The salary range for this position is $65,000-$75,000 annually. Compensation is determined based on factors such as Experience, Qualifications, and Internal equity.
