General Description

We are seeking a detail-oriented, tech-savvy intern to support the ongoing customization, testing, and optimization of our Apricot by Bonterra case management system.

The intern will assist with system configuration, data validation, form setup (including light HTML updates), report building, documentation, and user support as we expand Apricot across multiple programs. This position will work closely with the Data Manager and program leadership to support cross-departmental system needs and directly contribute to the organization's goals by enhancing digital systems and improving community engagement.

This is a hands-on, learning-focused opportunity ideal for someone studying Information Technology, Data Management, Nonprofit Administration, or a related field. The role offers real-world experience in cloud-based systems, CRM customization, and process improvement within a nonprofit setting.

Essential Duties and Responsibilities
  • Assist with configuring forms, fields, and workflows in Apricot (e.g., setting up new fields to capture specific program data).
  • Perform light HTML editing for form customizations, including layout improvements and basic validation rules.
  • Support data imports, exports, cleanup, and validation projects such as client data verification.
  • Help design and test system reports (e.g., Results Reporting / SAP BusinessObjects) to track program outcomes and client engagement.
  • Participate in system testing and quality assurance for new Apricot features and integrations.
  • Prepare system documentation, including workflow guides, user manuals, and training materials.
  • Monitor user-submitted tickets and assist with Tier 1 troubleshooting under supervision.
  • Help organize and track development tasks using project management tools (e.g., Trello, Microsoft Teams).
  • Participate in project meetings and document discussion notes and action items.
  • Provide general administrative support for system-related initiatives, such as scheduling, communication, and documentation.

Essential Qualifications
  • Currently pursuing a degree or certificate in Information Technology, Computer Science, Data Science, Business Information Systems, or a related field.
  • Familiarity with database systems, CRM tools, or case management platforms is a plus.
  • Basic knowledge of HTML and Microsoft Excel (experience with data cleaning a plus).
  • Strong organizational skills and keen attention to detail.
  • Ability to follow instructions precisely and work independently on assigned tasks.
  • Clear written communication skills for documentation and user support.
  • Eagerness to learn and contribute to meaningful systems improvement.
  • Experience with Apricot by Bonterra is a plus but not required - training will be provided.
Physical, Mental and/or Visual Demands
  • Must be able to sit and stand for extended periods of time throughout the day.
  • Must be able to lift up to 35 lbs.
  • Must be able to bend and stoop.
  • Must be able to walk extended periods throughout the day monitoring.
  • While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time.
  • The noise level in the work environment is usually moderate.
  • Specific vision abilities required by the job include close, distance, color, peripheral depth and the ability to adjust focus.
