PURPOSE

To fill current and future vacancies for the duration of the list, up to one year. The current vacancy is 12-month, full-time (8 hours/day), position located in the Information Technology Department, at the District Office in Simi Valley, California.

TESTING PROCESS:
A) Multiple choice exam - 40% weighting on final score. Tentatively Scheduled for May 23, 2025
B) Structured Interview - 60% weighting on final score. Tentatively scheduled for May 30, 2025
Applicants must meet the minimum qualifications stated in the job posting by the application deadline in order to move forward in the testing process. Those applicants who meet the minimum qualifications will be scheduled for the multiple choice exam. Those with the highest scores on the exam will be invited for structured interview. Purpose Statement
Under the general supervision of the Director of Information Technology, the Data Systems Analyst is responsible for supporting the school district's data infrastructure by analyzing data, identifying data integrity issues, and enhancing data systems processes to facilitate efficient and accurate reporting and decision-making processes. Performs a variety of technical and analytical functions within the district's information systems, such as the student information system, library and inventory management system, and other database systems.

This role involves collaborating with stakeholders to collect, analyze, and interpret data to ensure compliance with state and federal reporting requirements, improve instructional practices, and support data-driven decision-making within the district. Additionally, the Data Systems Analyst collaborates with the Data Systems Administrator and Student Data System Specialist and assists in vendor data requests.

Distinguishing Characteristics:
The Data Systems Analyst combines technical expertise with an understanding of educational data systems. This role requires proficiency in managing student information systems, data reporting platforms, and compliance with regulatory requirements. The analyst must have advanced skills in data analysis, complex querying and reporting, transforming raw data into actionable insights for district leadership. This position also fosters interdepartmental collaboration by bridging technical capabilities with educational and operational goals.
In comparison:
  • The Student Data System Specialist focuses on student records, transcripts, and compliance reporting (e.g., CALPADS). This role also includes training school site staff to use data systems effectively.
  • The Data Systems Analyst focuses on data analysis, reporting, and optimization of data systems, requiring proficiency in SQL and a deep understanding of compliance regulations.
  • The Data Systems Administrator is a more technical, higher-level role, responsible for database security, system configuration, and integration. This position requires expertise in SQL, strong troubleshooting abilities, and coordination with vendors.
ESSENTIAL DUTIES & RESPONSIBILITIES

Data Analysis, Reporting, and Data Collection Configuration
  • Designs and utilizes complex database queries for data analysis, reporting, and specific data extraction.
  • Develops and maintains custom reports to support data-driven decision-making for administrators, teachers, and other stakeholders.
  • Configures data collection processes such as Student Data Confirmation.
  • Develops and implements standards, practices, and procedures to ensure data integrity and accuracy.
  • Imports and exports data between the Student Information System and various vendor systems.
System Maintenance, Troubleshooting, and Integration
  • Analyzes, troubleshoots, and resolves district-level information system issues.
  • Refers server-level issues for the library and inventory management systems to the vendors and serves as the primary liaison for troubleshooting and resolution.
  • Assists educational services with digital curriculum.
  • Identifies, troubleshoots, and resolves data systems or data quality issues.
  • Collaborates with Information Technology (IT) staff to integrate data systems and streamline workflows.
  • Maintains up-to-date knowledge of educational data systems to recommend and implement improvements.
Training, Support, and Data Security
  • Ensures the privacy and security of student and staff data, adhering to all state and federal regulations.
  • Provides training and technical support to staff on the effective use of data systems and tools.
  • Designs and produces user guides and other resources for proper utilization of data systems.
Other Functions
  • Performs other duties as assigned that support the overall objective of the position.
MINIMUM QUALIFICATIONS

A high school diploma or equivalent, along with four years of recent experience working with SQL (preferably within student information systems).
OR,
Associate degree in management information systems, computer science, information technology, or a related field and two years of recent experience working with SQL (preferably within student information systems).
OR,
Bachelor's degree in management information systems, computer science, information technology, or a related field and one year of recent experience working with SQL (preferably within student information systems).
Licenses and Certificates
  • Industry certifications relevant to database management and data analysis are desirable.

Working Environment
  • Work is performed in an indoor office environment with minimal exposure to safety hazards.
  • Position requires prolonged periods of sitting, operating a computer, and using standard office equipment.
  • Occasional travel within the district may be required to provide on-site support and training.
Salary: Five step salary range that provides annual increases of approximately five percent until the fifth step is reached. New hire initial step placement (normally up to Step 3) based on qualifying education and experience as outlined in Merit System Rule 7.20.1. An employee who is promoted to a higher class shall be placed on the step of the new salary range that is at least five percent above the current rate, excluding any differential pay.

Vacation: Earned based on assigned hours. Increased vacation allowance based on years of service with the district. Confidential employees receive an additional 3 days vacation allotment, up to a maximum of 22 days. Management employees receive 22 days of vacation (based on 12-month assignment).
