JOB GOAL: Responsible for supporting the Assistant Superintendent, Director of Finance and Director of Facilities in compiling data, maintaining documents, and managing information for the purpose of ensuring operational efficiency for the Office of Teaching & Learning, and the Office of Finance & Operations. Responsible for processing and maintaining professional learning documents, financial documents, and facilities documents.
RESPONSIBILITIES MAY INCLUDE:
- Carries out duties and responsibilities with limited supervision.
- Makes decisions and establishes work priorities on essentially procedure-oriented operations.
- Manages and maintains the calendar for the Assistant Superintendent of Teaching and Learning as well as for the Director of Facilities.
- Speaks with vendors to obtain quotes for OTL and Facilities as needed.
- Works on personal computers to develop spreadsheets, write correspondence, supervise databases, and produce presentations, reports, and documents using desktop publishing software and computer graphics. Possesses substantial knowledge of technical terminology and procedures in order to carry out highly specialized work.
- Possesses knowledge of computer programs dealing with spreadsheets, word processing, and database management.
- Creates, enters, and manipulates data in a computerized database.
- Compiles data from a wide variety of diversified sources (e.g., agenda items, materials submitted by other departments or staff members, incoming mail and documents, budget requests, specific budget categories, etc.) for the purpose of complying with financial, legal and/or administrative requirements.
- Maintains a wide variety of documents, files, and records (e.g., purchase orders, invoices, facility use billing, coordinate with the Facilities Director on drafting the annual safety plan, coordinate with the Assistant Superintendent of Teaching and Learning on creating professional development databases and planning for the multiple professional development opportunities offered throughout the year, information in absence management system, web calendar for trainings, facilities databases, etc.).
- Manages information (e.g., course registrations; course attendance; conference requests; facility use requests; field trip requests; district wide forms from the various schools, completion records; general office matters, including mail, purchase orders, mileage, etc.) for the purpose of supporting operations of the department(s) and meeting the local, state and federal requirements. Performs other duties as appropriate and required.
- Other duties assigned by the Superintendent or his designees (Assistant Superintendent of Teaching and Learning or by the Director of Facilities)
QUALIFICATIONS:
- Associates' Degree or higher in secretarial science, data management or a related field. Candidates without a degree but possessing substantial relevant experience (generally 4+ years) demonstrating equivalent knowledge and capabilities will be considered.
- Two years' experience in secretarial and/or data management.
- Strong computer skills with focus on payroll/benefits software preferred.
- Expertise in the Microsoft Office environment
- Ability to work independently and to prioritize complex and at times, competing, job demands.
- Ability to communicate effectively with staff, administrators and the Board of Education.
- Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
- Ability to perform duties with awareness of, and to adhere to, all District requirements and Board of Education policies and the State of Connecticut Educator Standards.
SALARY AND TERMS OF EMPLOYMENT: 12-month position; Salary in accordance with the collective bargaining agreement between the Torrington Board of Education and AFSCME Council 4 Local - Secretaries
