Position Classification:

Regular, part-time, hourly and non-exempt staff position.

General Schedule:

This position averages 20 hours per week and offers flexibility in scheduling.

Position Overview:

Serves as a dedicated resource for record-keeping (e.g. student records, personnel records, etc.), data collection, and responding to customers as requested for related information. Typically ensures compliance with applicable policies and regulations. Performs specialized clerical duties regarding a company's accounts, records, and or customers. Codifies, files, retrieves, and keeps electronic and hard copy company records current. Searches for and investigates information contained in files, adds additional data to file records, completes reports, keeps files current, and supplies information from file data or electronic data files. Files hard copy or maintain electronic record of correspondence, cards, invoices, receipts, and other information and/or records in alphabetical or numerical order, or according to subject matter or other system. Classifies material when classification is not readily discernible. Verifies the acceptability of documents stored. Controls inventory of records stored and may have responsibility for all phases of destruction or disposition of records. Purges obsolete or outdated files in accordance with established retirement schedule or legal requirements. May involve data entry, word processing, sorting mail, and operating copy or fax machines. May make digitized, microfilmed, or photocopied copies of records. May generate labels or reports. May make calculations to keep files current. Performs work under general supervision. Handles basic issues and problems and refers more complex issues to higher-level staff. Possesses beginning working knowledge of subject matter. Typically, non-exempt and does not supervise other staff (but may supervise students). Typically reports to a supervisor or manager.

Job Level:

Scope & Impact: This position is an entry level position, responsible for performing a variety of clerical/administrative support, or manual labor, tasks with predictable, prescribed impact on a particular work group.

Communication & Interaction: Limited interaction within and outside the University. Refers inquiries to appropriate individuals.

Effective Knowledge: Demonstrates ability to execute tasks according to standard operating procedures and/or direction, with supervision/guidance readily available if needed.

Problem Solving & Judgement: The job consists of repetitive manual or tasks that are covered by specific procedures or close supervision.

Budget Authority: May compile data for budget preparation.

Policy & Procedure Authority: Primarily responsible for executing routine procedures with direction from senior staff.

Reporting Relationships: Generally, supports a manager or director-level leader and reports to a senior level administrative professional. May receive basic operational direction and guidance from senior support staff.

Supervisory & Team Leadership Responsibilities: None.
