Job Summary Based out of our Portland, Maine branch the Customer Service Representative (CSR) supports assigned accounts and inbound inquiries by delivering high-quality service related to product specifications, order processing, customer delivery and general account support.
Duties & Responsibilities Customer Interaction
- Responds promptly and professionally to customer inquiries via phone, email, and fax.
- Fosters strong relationships with customers and internal teams, approaching all interactions with a solutions-oriented mindset.
Account Support & Order Management
- Communicates with assigned accounts to process product inquiries, pricing requests, and orders (including stock and special orders).
- Notify customers of order status updates, including back orders, will-calls, special orders, and deliveries.
- Shares pricing details and distributes dealer price sheets as needed.
- Highlights promotions and dealer programs in alignment with monthly talking points and company direction.
- Supports Territory Managers by preparing quotes, entering orders, and providing timely account information.
Warehouse Operations
- Retrieves products from warehouse shelves based on pick lists.
- Verifies product quantities and inspects items for damage or defects.
- Loads products onto the delivery truck in the correct order based on delivery stops.
- Adheres to safety procedures when lifting, moving, and handling merchandise.
Delivery and Customer Service
- Drives a pickup, van or 16ft box truck to customer locations following designated sales routes.
- Unloads and delivers products to customers in a timely and professional manner.
- Obtains customer signatures to confirm receipt of goods.
- Collects payments when required, following proper cash handling procedures.
Other
- Safety Sensitive Position: the ability to perform job functions in a constant state of alertness and in a safe manner.

Qualifications - High School diploma or its GED equivalent.
- 5 or more years' experience with HVAC, customer Service, and related functions.
- Proficient in using office technology, including computers, photocopiers, scanners, phone systems, and virtual meeting platforms, as required for daily responsibilities.
- Physical Demands & Work Environment
- This position may require up to 40-43 hours per week and involves regular physical activity, including:
- Regular bending, lifting and carrying up to 50 lbs.
- Prolonged use of fingers, hands and arms to perform office/computer work.
- Prolonged periods of sitting for up to 8 hours daily.
- Periods of standing and walking throughout the shift.
- Regular use of hearing and speech for phone and in-person communication up to 6 hours daily.
- Frequent use of office equipment including computers, phones, and scanners up to 8 hours daily.
- Visual requirements include close, distance, color, and peripheral vision, as well as depth perception and focus adjustment.
