Customer Service
As an member of Customer Service, the roles below under Customer Service Manager's instruction
1.Customer Service Administration
• Establish effective working relationships with current and potential customers and vendors.
• Registers clients by gathering various credit references for approval and establishment of client accounts.
• Maintains and updates customers and vendors records as needed.
• Responsible for all Applicators procedures and documentation.
• Assists customers with product queries and provides quotations accordingly by using the 365BC system, Website and/or contacting Japan HQ.
• Handles ordering process by receiving customer purchase orders and ensuring all data is accurate and matching directly with its pertaining quotation.
• Contacts customer to confirm orders and modification of orders if needed.
• Generates and enters sales order to 365BC system and obtains all necessary data for purchase order to vendors including ShinMaywa Japan.
• Generates all sales order documentation such as packing slip, picking ticket, security trade control checklist and certificate of origin by using 365BC systems and/or Microsoft Excel and ensures documentation is included and organized in file.
• Enters invoices of incoming material in 365BC according to each customer's guidelines and keeps record of back orders.
• Provides customers with invoices via mail or e-mail and contacts customers for status of outstanding statements.
• Creates Adjustments to customer invoices as needed based on customer requirements or departments errors such as overly shipped material or customer returns.
• Notifies accountant of completed order procedure for 365BC system Posting
• Tracks incoming and outgoing shipments from supplier to ensure a timely mannered delivery to customer.
• Drops/hand carries shipments to customer directly.
• Provides customer with shipment status report and back order status report.
• For machinery/equipment pick-up and delivery: Assists transportation company with necessary documentation such as switch invoice, certificate of origin, and packing slip created through Microsoft Excel.
• Acts as a liaison between transportation company and customer.
2.Warehouse and Inventory Control
• Receives all documentation in advance of purchased material expected to arrive such as Invoice, Packing Slip and QR codes from Japan HQ via e-mail.
• Scans each QR code with handheld device, creates new batch ID's and retrieves Receiving Transaction Entry from 365BC system.
• Ensures Invoice and Retrieving Transaction Entry amount values are accurate and corresponding with each other. Rescans for error corrections.
• Receives physical material in warehouse from various carriers and provides signature.
• Creates Bin and Inventory labels and assigns and stores material to its pertaining Bin.
• Uses handheld device and 365BC systems to keep stock control up to date and ensures inventories are accurate.
• Fulfills purchase orders by preparing and packing items, prints shipping labels, weighs material, and ships material according to customer's carrier preference.
3.Other & Miscellaneous
• Answers and transfers incoming calls
• Files and maintains organization in CS and Inventory documentation.
• Makes coffee as needed

$45,000 /Year ( Bonus are not included in this saraly. )

8:30 - 17:00 (Standard 7.5Hrs/day)
Ø Requirement
College degree or equivalent work experience required
General Office equipment such as phones, copier, PC, printer and scanner.
Software includes the use of Windows operating system, and MS Office.
Demonstrated flexibility/adaptability in a dynamic, fast-paced team environment
Bilingual in Spanish and English
