Scheduled Weekly Hours: 24 Work Shift: Days/Evenings (United States of America) Customer Service Representative Job Description: Coordinate Women's Wellness workflows by greeting patients, processing orders, directing phone calls, scheduling procedures, registering patients, collecting deposits, assisting patients, families, and physicians Essential Job Functions Greet patients, physicians, and visitors and answer their inquiries. Provide positive customer service by treating all customers (patients, visitors, physicians) with courtesy and respect and utilizing the "Yes, we can" approach. Evaluate incoming calls and direct them to the appropriate areas within the department. Enter and retrieve data from the hospital, radiology, and mammography information systems. Monitor the waiting room for excessive wait time and investigate with appropriate section, keep the patient informed as to the reason for extended waiting periods. Schedule patients for necessary return appointments into the Central Scheduling software, offer appointment cards if needed. Responsible for maintaining confidentiality for all patient data, including medical history and diagnosis. Responsible for safeguarding sensitive internal information whether written or verbal. Register patients for procedures. Collect deposits as applicable. Responsible for stocking clerical supplies and cleaning area. Proficiently be able to use copy and fax machine. Maintain awareness of comfort and safety needs of patients and others. Work as a "team" with other co-workers and communicate appropriately and effectively. Complete other duties and responsibilities as assigned. Education: High School Diploma or General Education Degree; or 1-3 months related experience and/or training; or equivalent combination of education and experience Experience/Skills Knowledge of hospital and radiology information systems Experience with scheduling and patient registration Communication/interpersonal skills-incumbents must be able to explain instructions to patients and their families, and/or be able to explain departmental or hospital procedures to physicians, employees, visitors, and patients. Communication should be clear and sensitive, but not complex. (i.e Appointment scheduling, procedure information, and patient prep) Analytical skills-the ability to gather and interpret data in situations where the information or problems are not difficult or complex (i.e. Maintaining department files and records, diagnosing and performing minor repairs on equipment malfunctions and matching correct diagnosis with orders.) Decision making skills-ability to apply common sense understanding to carry out written and oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Be able to organize work, set priorities and inform supervisor when exceptions need to be made. (i.e. resolving customer conflict, adjusting patient schedule.) Computer skills-works with Windows, Internet/Intranet, and EPIC.
