Primary Purpose:

The purpose of this position is to perform highly responsible duties for the Career & Technical Education Department. Assists with CTE Department programming and compliance, project coordination, and student recruitment. Maintains CTE Department calendars, industry-based certification information/data, CTE partner information, and other CTE records. Experience and ability to work with all levels of internal management, faculty, staff, students, and the general public. Keep up to date with all SISD policies and procedures. This position requires a strong working knowledge of computer systems and programs.

JOB REQUIREMENTS:

Knowledge: This position requires knowledge of data collection, data input, spreadsheets, etc. Knowledge of filing systems and office operations, including Internet, email, and word processing programs is also required.

Skills: This position requires well-developed communication and organizational skills and interpersonal relations skills appropriate to regular and intensive interaction with staff and the public. Must possess good customer service skills, be able to listen without being judgmental, perform multiple tasks, and operate all types of technology. This position will interface with SISD students as needed during industry-based certification testing and licensure and dual credit supply distribution.

Abilities: Able to sit for long periods and lift to 20 pounds occasionally. Must be able to communicate effectively and positively to promote the college and career mission and programming of SISD. Will require frequent interaction and working effectively with CTE staff and faculty. Must be able to recognize situations and provide assistance, make sound decisions or refer to someone for assistance.

Quali?cations:

Education/Certi?cation: Associate's Degree Administrative Assistant or related field.

Post-secondary education and/or Business courses preferred

Special Knowledge/Skills:

Pro?cient in computer operations and o?ce equipment (e.g., computer, copier)

Able to problem-solve, prioritize, and track progress

Self-starter, able to adapt and adjust quickly to changing situations and needs

Strong MS O?ce skills, typing/word processing, databases, and spreadsheets (Excel), Adobe CC

Excellent organizational, communication, and interpersonal skills

Knowledge of or ability to learn and utilize multiple online data and software applications

Ability to establish and maintain e?ective working relationships with others

Experience:

Prior experience in the public school setting; CTE experience preferred.

Major Responsibilities and Duties:

Strong networking and communication skills; maintains confidentiality of information.

Coordinates and implements services such as purchasing, records control, projects, inventory maintenance

Interface with SJC for reconciliation of dual credit invoices

Compile CTE teacher conference information for review and approval by the CTE Director

Schedule and prepare meeting agendas and records, compile, transcribe, and distribute meeting minutes

Locates and compiles information for various CTE activities for the CTE Work-Based Learning Coordinator

Monitors and compiles various CTE staff curriculum program usage reports for CTE Director review

Assists in obtaining information for budgeting

Maintains information relating to grant rewards and correspondence

Compiles and organizes all relevant CTE faculty data

Interfaces with CTE staff regarding materials and equipment needs

Inventory and track select CTE equipment; deliver as needed

Operates office equipment such as copier, fax machine, and calculator

Coordinates the servicing of equipment

Operates a computer to access e-mail, electronic calendars, SISD programs, CTE department-specific curriculum software, and other internet-based CTE programs

Establishes and maintains comprehensive filing systems; electronic and paper-based

Strong experience in Microsoft Office Suite and Adobe CC

Completes various requests for buses and CTE vehicles when requested; maintains records for CTE vehicle use

Ensures all driver records are up-to-date and submitted to the transportation A

Assist in the preparation and monitoring of purchase orders for accuracy and completion.

Communicate with vendors to obtain quotes, place orders, and track shipments.

Assist in making travel arrangements for CTE personnel.

Utilize software applications and online resources for CTE teachers and assist with training when necessary.

Assist with the coordination of facilities, materials, and equipment needed for workshops, meetings, and special events.

Compile information and prepare reports as needed.

Maintain accurate records, such as CTE certi?cations and documentation related to CTE grants.

Create, modify, and update CTE-related projects and documents as assigned, specifically CTE Industry-Based Certification information

Interface with San Jacinto College regarding textbook access codes, textbooks, and supplies as needed

Perform other duties assigned by the Director of CTE and Work Based Learning Coordinator

Maintain emotional control under stress and work with frequent interruptions. Frequent standing, stooping, bending, pulling and pushing, and moving small stacks of textbooks, media equipment, and other equipment are required while performing the duties of this job. maintain emotional control under stress. Repetitive hand motions and prolonged use of a computer. May be required to work evenings and/or weekends in support of CTE functions.

This position is funded by the Perkins Reserve Grant and is annually reviewed for renewal.

This position cannot be performed remotely.
