Description of Work Unit
The Colorado State University ( CSU ) System, along with its partners, has developed a unique and exciting public facility called CSU Spur at the National Western Center in Denver, Colorado. The CSU Spur campus houses three buildings focused on water, food and agriculture, human and animal health, and sustainability. Within the Spur buildings, CSU conducts research and convenes experts from around the globe; students of all ages engage with science and have opportunities for exploratory learning, transforming their thinking about food, water, and health, and the careers available in these fields; and partners join in programming the space and bring evolving content to the year-round campus. Position Summary
CSU Spur is seeking a motivated and enthusiastic individual to join the Education Team as the Education Administrator. This position supports the Education Team by coordinating logistics for various types of programs and experiences. Individuals excited to work in a dynamic environment with a wide variety of programs and audiences, an openness to learn and try new ideas and experiences, an ability to be flexible and adaptable, and who have a passion to be part of team designing and executing programs that inspire life-long learners to tackle global problems around food, water, and health, are highly encouraged to apply.
Program logistics include, but are not limited to, creating processes and procedures and being the main point of contact for field trip reservations and outreach program requests, answering general educational program phone and email inquiries, scheduling staff and volunteers in facilitating public and school programs, and general teacher communication and documentation, as well as supporting users with any issues they may encounter in the process. This position will also provide some general administrative support, including some calendar scheduling for the Senior Director of Education & Visitor Engagement and general Education team, mail and package sorting, supply inventory maintenance including ordering and distribution, processing school bus reimbursements and program scholarships, and other tasks as needed. The individual in this role will also support staff, adult volunteers, interns and youth volunteers on the Education team and throughout the Spur campus.
As a member of the CSU Spur Education Team, this individual will also occasionally support public engagement opportunities throughout CSU Spur's campus for multigenerational visitors. Below is a summary of interpretive areas on which CSU Spur currently focuses educational programming:
• Food: In the Terra building, the team interprets partner programs on controlled agriculture, food systems education, urban gardening, nutrition education, and food development processes.
• Water: In the Hydro building, the team works with partners like Denver Water to provide experiences around water conservation, quality, and water systems. Programming includes usage of an outdoor backyard garden space that connects to the South Platte River for riparian ecosystem programming.
• Health: In the Vida building, the team interprets live veterinary procedures, equine-assisted services, and equine rehabilitation therapy in partnership with the Dumb Friends League, the Temple Grandin Equine Center, and CSU Equine Sports Medicine, providing opportunities for visitors and school groups to learn about animal and human health through active observation and engagement. This role will have a planned weekly schedule, which may include weekend days and some evenings. Work will occur on site at CSU Spur in Denver and may include outreach events in the community. This position is subject to a probationary period before taking on responsibilities outlined in the decision making and complexity/guidance sections below.
This position is supervised by the CSU Spur Senior Director of Education & Visitor Engagement.
Minimum Qualifications
To be considered for this position, candidates must demonstrate in the application materials:
Experience Only:
Three (3) years of general clerical/administrative support, general clerical, and/or program coordination experience in an office setting
OR
Education and Experience:
A combination of related education and/or relevant clerical/administrative support, general clerical, and/or program coordination experience equal to three (3) years

• Directly related state service experience
• Bilingual: ability to communicate with program constituents in both Spanish and English
• Demonstrated customer service and collaboration skills with multiple stakeholders, including the public
• Ability to use exceptional written communication skills to prepare professional correspondence and communication with program stakeholders
• Experience using software or a scheduling platform, such as Sling or Volgistics volunteer database software
• Excellent computer skills, specifically with Office 365 (Word, Outlook, Teams, Excel, PowerPoint) and the ability to learn additional software.

Duty/Responsibility
• Manage field trip and outreach reservation requests, communications with school field trip teachers and group leaders, and space requests.
• Establishes relationships through interpersonal skills and collaboration with program stakeholders (e.g., CSU departmental staff, educators/teachers, volunteers, CSU Spur staff, etc.) for program logistics. Respond to complex and non-routine inquiries; advise on policies and procedures; contact individuals inside and outside of the university.
• Collaborate with the School Programs Coordinator to develop processes for education programs that ensure excellent experiences for participants.
• Develop processes for distribution and tracking of bus and scholarship reimbursements.
• Manage supply inventory, including tracking, ordering, and distributing incoming packages and orders.
• Maintain exhibit maintenance requests, supplies and other needs, working with the Educational Exhibits Coordinator.
• Create and manage professional contractor recordkeeping, including processing and submitting invoices and payment.
• Assist Sr. Director of Education and Education Managers in budget tracking and purchasing.
• Monitor department budget for expenses and balances; investigate discrepancies; and process charges.
• Maintain accurate records and filing systems, both electronic and physical.
• Manage tracking and reporting of program data.
• Investigate gaps and errors in data collection and decide how to correct errors or modify procedures to ensure future data collection is accurate and timely.
• Independently create and formulate moderately complex spreadsheets, forms, and develop databases and materials from variety of information systems including forms for booking education programs and scheduling staff.
• Support classroom and program area set-up and breakdown for daily offerings.
• Answer and direct general Education phone and email communications.
• Provide consistent customer support and excellent customer service, communicating clearly and effectively and reflecting the Spur community guidelines. Percentage Of Time50
