Academic House Assistant Principal PURPOSE: The Academic House Secretary - Crum Hall is responsible for performing a variety of clerical tasks under the direction of their supervising Assistant Principal.
EMPLOYMENT QUALIFICATIONS:Education: - High School Diploma or equivalent required.
- Associate's degree or equivalent from two-year College or technical school; OR Three years related experience and/or training; OR equivalent combination of education and experience.
Experience: - One year of clerical experience required.
- Broad range of advanced secretarial, clerical, accounting and/or technical skills.
- Experience with a variety of data bases and computer software applications.
- Bilingual skills preferred but not required.
KNOWLEDGE, SKILLS, & ABILITIES:
- Excellent computer skills, strong communication skills both verbal and written.
- Advanced knowledge of accounting software/database software; Microsoft Office Suite and Google Workspace.
- Knowledge of and/or ability to learn computer software applications and add-ons such as Word, Excel, Outlook, Google Docs, Google Sheets, Autocrat, Skyward, TreeRing, Frontline, etc.
- Ability to solve practical problems, follow instructions and make decisions with little or no supervision.
- Ability to work in a fast-paced environment.
- Detail oriented, excellent organizational skills, demonstrates accuracy and thoroughness.
- Adhere to strict deadlines.
- Ability to maintain confidentiality.
- Be able to evaluate and interpret data, compile written reports, prepare letters, spreadsheets, business correspondence, etc.

DUTIES & RESPONSIBILITIES: - Assist supervising Assistant Principal with daily tasks as directed.
- Represent the District and DCHS in a professional and business-like manner.
- Daily interactions and management of the Crum Hall teachers, counselor, Paras and students.
- Manage difficult and/or emotional student situations; respond promptly.
- Prepare daily reports (attendance, detention, rosters, grades, referrals, etc.)
- Daily data entry into Skyward, specifically regarding attendance and discipline.
- Schedule and maintain multiple calendars.
- Correspondence with parents/guardians by phone, Talking Points, etc.
- Schedule appointments, return emails, prepare documents, attend meetings, etc. as needed.
- Supervise multiple office aides.
- Attend/complete continuing education and safety trainings.
- Manage Teacher Resource room (paper goods, supplies, furniture, copy machine, printer, etc.).
- Assist with placement and management of daily substitutes and classroom covers.
- Prepare and manage timesheets for building-wide extra duty, additional duty, class covers, long-term substitutes and visiting substitutes.
- TreeRing data entry for bilingual paras and interventionist, including missed punches and PTO.
- Reconcile Frontline monthly.
- Maintain audit notebooks for payroll.
- Assist in training incoming Discipline Secretaries.
- Assist in training incoming Student Services Clerk (subs and covers).
- Assist and/or fill in for other Secretaries.
- Assist other Administrators as needed.
- Perform other duties as assigned.
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT: - While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk and hear.
- The employee is occasionally required to stand; walk and reach with hands and arms.
- The employee must regularly lift and /or move up to 25 pounds.
- Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus.
