Overview The CRM & Sales Operations Administrative Assistant is a detail-oriented and highly organized individual responsible for providing administrative support to ensure efficient day-to-day operations within the Sales and Estimating departments. This role involves managing CRM data entry and ensuring the accuracy and efficiency of the CRM system to support accurate reporting and informed decision-making across the organization.
Responsibilities- Review processes to ensure consistent and effective development of services both internally and externally.
- Work with Sales and Estimating teams to ensure that CRM data is logged accurately and efficiently, with an emphasis on maintaining clean, reliable, and up-to-date records.
- Collaborate with the Sales Operations team to improve processes for CRM data management, ensuring alignment across departments and business units.
- Review and clean CRM data regularly to maintain its integrity, ensuring accurate forecasting, pipeline management, and performance reporting.
- Provide administrative support to the Sales and Estimating departments, ensuring smooth operations and timely execution of daily tasks.
- Assist the Sales and Estimating team in communicating with customers and updating the CRM as needed.
- Coordinate the flow of information between the Sales, Estimating, and Sales Operations teams to ensure accurate and complete data in the CRM.
- Ensure that any issues or discrepancies with CRM data are identified and resolved promptly, contributing to the overall effectiveness of the sales and estimating processes.
- Enter new opportunities, leads, and customer information into the CRM, ensuring proper categorization and detailed tracking.
- Assist with routine sales operations tasks across multiple business units as needed, ensuring CRM data integrity and process efficiency.
- Answer phone calls and direct inquiries to the appropriate parties, ensuring effective communication within and outside the department.
- Respond to inquiries from customers, Sales Representatives, and Estimators in a timely and professional manner.
- Other administrative duties as required.
Qualifications- High school diploma required.
- One to three years of previous work-related skill, knowledge, or experience preferred
- Discretion and maturity required to maintain confidential information
- Intermediate computer skills required; Outlook email, Word, Project, Excel
- Excellent communication skills
- Strong time management and organizational skills
- Detail, goal and quality oriented
- Ability to multi-task and work in fast-paced environments
- Team-oriented with proven success with interpersonal relationships and experience with a variety of personalities and backgrounds in the workplace
- Salesforce experience preferred, but not required.
