Job Description:


The CRM Manager will be a key player in optimizing the use of Raritan Valley Community College's (RVCC) Customer Relationship Management (CRM) system. Reporting to the Director of Marketing, the CRM Manager will lead system administration tasks, including user management, data quality assurance, campaign creation, and the development of reports and dashboards to support RVCC's strategic enrollment and retention goals. The role will involve close collaboration with various departments to ensure effective CRM utilization across the College's recruitment, enrollment, and student retention efforts.


Essential Duties:


CRM System Administration:


  • Serve as the primary point of contact and administrator for RVCC's CRM system, overseeing user access, security settings, and system configuration.
  • Customize and configure the CRM platform to meet the needs of the College's enrollment goals, including the development of custom objects, fields, workflows, and reports.
  • Manage user accounts and permissions to ensure appropriate access levels across departments.

Reporting & Data Analytics:


  • Generate reports and dashboards to track key performance metrics related to recruitment, enrollment, and retention goals.
  • Analyze CRM data to provide insights and recommendations to support decision-making in recruitment and retention strategies.

Training & Support:


  • Provide training, support, and best practices to staff on CRM system functionality, ensuring consistency and accuracy in data entry and system use.
  • Troubleshoot and resolve issues related to CRM functionality, working with stakeholders and vendors as necessary.

Collaboration & Process Improvement:


  • Collaborate with departments across the College (e.g., Admissions, Financial Aid, Retention) to identify opportunities for process improvements and automation within the CRM.
  • Work with stakeholders to ensure the CRM supports the strategic needs of the College, including recruitment campaigns, student communications, and retention efforts.

System Performance & Issue Resolution:


  • Monitor the CRM's performance and proactively address any technical issues, working with IT and third-party vendors to resolve problems in a timely manner.

Data Integrity & Auditing:


  • Ensure data integrity and accuracy within the CRM system through regular audits, data cleansing processes, and monitoring for inconsistencies.

Stay Current with CRM Developments:


  • Stay informed about CRM updates, new features, and best practices. Evaluate potential upgrades or enhancements and recommend changes to improve functionality and support College goals.
  • Implement new CRM features and functions as needed, ensuring they align with organizational goals.

Documentation & Knowledge Transfer:


  • Maintain up-to-date documentation of CRM configurations, processes, and procedures to ensure continuity and knowledge transfer across the organization.

Other Duties:


  • Perform other duties as assigned by the Director of Marketing.


Requirements:


Bachelor's degree from an accredited institution of higher education.


At least 2 years of experience administering and configuring a CRM system.


Strong analytical skills with the ability to translate business requirements into technical solutions.


Excellent organizational skills and attention to detail, with the ability to manage multiple projects and deadlines in a fast-paced environment.


Excellent verbal, written, and interpersonal communication skills, with a proven ability to work in a collaborative, team-oriented environment.


Detail-oriented with a strong commitment to data accuracy and integrity.


Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other higher education software technologies.


Ability to manage competing priorities and troubleshoot complex issues.


Preferred Qualifications:


Experience with Salesforce, Target X, Ellucian Banner, Axiom, or other related higher education software systems.


Knowledge of basic programming languages (e.g., SQL) to enhance CRM functionalities and reporting.


Experience working in a higher education or enrollment management setting.


Knowledge of data security practices and user access protocols.
