DescriptionThe purpose of the class is to perform a variety of moderately complex clerical work in the preparation and maintenance of department records, to perform a variety of clerical tasks as assigned, and to provide professional and courteous customer service at all times. The class is given a general outline of work to be performed and is free to develop work methods and sequences; work is reviews periodically by supervisor.
DutiesExamines, scans, redacts all court documents processed by all other Court Clerks.
Prepares, processes, copies, indexes, files, transmits and/or maintains various Departmental documents.
Audits and ensures the security and confidentiality of files as appropriate.
Maintains records, prepare forms, verify information and resolve moderately complex problems.
Prepares and maintains correspondence, memoranda, reports, etc.
Creates letters, memos, and other correspondents for the appropriate office or department.
Examines documents created by lower level administrative staff for accuracy.
Collects fines, fees, and payments, and issues receipts.
Purchases and maintains office inventory levels such as paper, pens, toner, etc.
Schedules and maintains calendar of appointments, meetings and travel itineraries and coordinates related arrangements.
Resolves moderately complex issues regarding departmental operations.
Assists co-workers with clerical duties as necessary.
Operates a personal computer and appropriate software packages or its equivalent.
Assists customers in completing paperwork, including working with senior workers and summer youth workers.
Examines and processes incoming mail and distribute to the proper departments on a daily basis.
Maintains files on ordinances, jury lists, pardons, oath of offices and miscellaneous orders from Court Administration.
Assists with preparing files for archiving purposes.
Maintains documents and records of Veterans. Responsible for filing necessary forms for individuals seeking financial assistance through the military, as well as, for families seeking assistance of the VA upon the death of veterans.
May prepare and distribute minutes of meetings.
May tabulate, post, and verify information as requested.
May assist in departmental budgeting.
Performs other related job duties as assigned.
QualificationsHigh school diploma or GED supplemented by education in accounting, bookkeeping, secretarial science or a closely related field.
Requires at least three (3) years of related work experience.
Special Qualifications: May require special certifications as required by the Department Manager.
