PRIMARY DUTIES & RESPONSIBILITIES Hiring Range: $33.75-42.19/Hourly, based on qualifications exceeding minimum requirements
Full Salary Range: $33.75-52.53/Hourly.

The Court Administration Executive Specialist within the Court Administration Department including Detention, Marshals, Probation, IT, and Case Management provides administrative support to the Municipal Court
- Provides administrative support to Court Administrator, Deputy Court Administrator, Chief Marshal, Manager of IT, Probation, and Case Management
- Coordinates payroll activities for Court Administration, Case Management Marshal's, IT, and Probation
- Maintain Personnel files
- Schedules appointments and meetings
- Make travel arrangements for Division Managers and Deputies as needed
- Orders supplies and coordinate events for Administration Office and Court Managers
- Sorts and distributes mail for Administration Office
- Process invoices and Purchase Orders, Accounts Payable, and P-card statements
- In partnership with finance, serves as department's budget coordinator, prepares budget reports for all divisions, prepares budget reports including forecasting.
- May assist with position management which may assist including job requisitions.
- In partnership with Court Administrator and Division Managers, supports, develops, monitors and delivers monthly and annual performance metrics reports with analysis, as well as statistical reports.
- Produces monthly dashboard report which includes departmental performance metrics and statistics
- Completes special projects
- Schedules and coordinates Council member meetings with Court Administrator and enters into Escribe when necessary
- Assists with preparation of presentations for City Council etc. as well as entry in escribe.
- Performs additional duties as assigned
MINIMUM QUALIFICATIONS & WORKING CONDITIONS An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.
Education:
- High School Diploma or GED
- Associate's degree in Business Administration or a related field
Experience:
- At least four (4) years advanced administrative experience, including payroll and accounting experience.
Preferred Qualifications:
- Experience providing direct administrative support to a Department Director or CEO
- ExpCourerience in municipal courts
Knowledge of:
- Administrative practices and procedures
- Composition, grammar, letter and correspondence formatting
- Payroll and budgeting procedures
Skills:
- Strong interpersonal, analytical, and organizational skills
- Skill in the use of personal computers and other office equipment
- In typing a minimum of sixty (60) net words per minute
- Good command of the English language
- Expert in Microsoft Suite, One Drive, and SharePoint
Abilities to:
- Establish and maintain effective working relationships with senior management, employees and citizens
- Handle sensitive situations with tact and diplomacy
- Maintain strict confidentiality
- Communicate effectively both verbally and in writing
- Organize and carry out projects
- Conduct and compile research if required
Essential Personnel:
- When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.
Physical Demands:
- Light physical work lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds
- Occasional lifting, carrying, walking and standing
- Speech communication, hearing, and listening to maintain communication with employees, defendants, justice system personnel, and citizens.
- Vision for reading and reviewing written materials and documents
- Hand/eye coordination for operation of computer and standard office equipment
Work Environment:
- Essential duties performed indoors in a public setting or courthouse

- Utilization of standard office equipment, including personal computers and related software
