Department/Program Description: Stanford's Physics Department is a teaching and research department in the School of Humanities and Sciences. For undergraduates, we offer Physics majors and minors with a variety of pathways. For graduate students, we offer a Physics Ph.D. program. The department has approximately 50 faculty members, over 200 graduate students, over 70 undergraduate students, and approximately 30 staff members.

Position Summary: The Physics Department is seeking a Course Administrator (CA) to support its large introductory "20", "40" and "60" series physics courses. The CA will work under general supervision of the Assistant Director of Student and Academic Services. In addition to course-related duties, the CA will provide general administrative support to the student services team and may assist with various office tasks and event coordination as needed.

In support of the introductory physics courses, the CA will be responsible for managing email lists and serving as the primary point of contact for all administrative questions, scheduling courses, assigning TAs, creating Canvas pages, coordinating exam logistics for all students including resolving scheduling conflicts, coordinating exam logistics for students with OAE exam accommodations, processing and organizing mid-quarter evaluations for TAs, and printing and scanning a high-volume of documents.

The ideal candidate is a friendly, proactive, and dependable self-starter with strong interpersonal and communication skills. This position requires a high level of professionalism, productivity, accuracy, organization, multi-tasking, independence, sound judgment, and decision-making. The position requires a motivated person with a positive attitude and a passion for customer service and supporting others to manage a wide variety of tasks in a fast-paced academic environment with frequently shifting priorities. The ideal candidate should have previous customer service experience, and be comfortable with Microsoft Excel and Google Suite as well as learning new systems.

This is a 100% FTE continuing, non-exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid of working on-site and off-site), subject to operational need.The schedule will be 4 days on-site, 1 day off-site. During the initial training period, this position will be expected to be 5 days on-site.

CORE DUTIES:

Respond to inquiries, and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.

Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.

Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.

Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.

Process and monitor routine financial transactions, which may include researching and resolving discrepancies.

Maintain approved content on websites.

May guide and train student and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness.

EDUCATION AND EXPERIENCE:

High school diploma and three years of administrative experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

Proficient computer skills and demonstrated experience with office software and email applications.

Demonstrated success in following through and completing routine tasks.

Strong organizational skills and attention to detail.

Strong verbal and written communication skills.

Excellent customer service and interpersonal skills.

Ability to prioritize and multi-task.

In addition, preferred requirements include:

The expected pay range for thisposition is $31.79 to $37.96 per hour.
