About the Role: As a Corporate Reception Specialist, you will serve as the welcoming face of our organization, ensuring a professional and inviting atmosphere for clients, visitors, and employees. Your role will encompass front desk operations, managing calls, coordinating office logistics, and providing essential support to our attorneys and staff.
Key Responsibilities: - Front Desk & Client Interaction:
- Greet and assist clients, visitors, and vendors with the utmost professionalism.
- Handle a high volume of calls efficiently using a multiline phone system.
- Keep the reception area clean and organized at all times.
- Manage incoming and outgoing mail, packages, and couriers proficiently.
- Maintain visitor logs and adhere to security procedures.
- Administrative & Office Support:
- Schedule and oversee conference room bookings.
- Assist with travel arrangements, prepare expense reports, and update databases.
- Provide light administrative support, including copying, scanning, and filing as needed.
- Legal Office Coordination:
- Support billing inquiries and assist with invoice processing as required.
Qualifications & Skills: - At least 3 years of experience as a receptionist or in an administrative role within a law firm or professional office.
- Exceptional organization and multitasking abilities in a dynamic environment.
- Strong written and verbal communication skills.
- Proficient in handling confidential and sensitive information with discretion.
- Experience with Microsoft Office Suite (Outlook, Word, Excel) and office management tools.
- Familiarity with legal software or billing platforms is a bonus.
Educational Requirements: - High school diploma required (associate or bachelor's degree preferred).
