Overview

Zermount, Inc. is seeking a highly organized and detail-oriented Corporate Administrator to join our team in Arlington, VA. In this pivotal role, you will support our Human Resources (HR) and Recruiting functions while also contributing to internal technical, operational, and Business Development (BD) initiatives. You will ensure smooth onboarding and offboarding of employees, maintain accurate HR records, coordinate recruiting activities, and assist with projects such as system improvements or new tool implementations.

Duties & Responsibilities:
•  Coordinate end-to-end employee onboarding and offboarding processes, ensuring new hires are warmly welcomed and departing employees complete all exit requirements (paperwork, equipment returns, exit interviews).
•  Maintain and organize confidential employee files and HR records (both digital and physical) to ensure accuracy and compliance with company policies and legal regulations. Track employee compliance requirements such as mandatory trainings, certifications, and policy acknowledgments.
•  Assist in the administration of employee benefits programs - help employees with enrollment and changes, coordinate open enrollment activities, and liaise with benefit providers to resolve issues. Provide timely information to staff about benefits and wellness initiatives.
•  Update and manage the Human Resources Information System (HRIS) with all employee data changes, new hire information, and terminations. Regularly audit the HRIS for data integrity, generate reports (headcount, turnover, etc.), and support employees and managers in using HR self-service tools.
•  Source candidates for open positions through various channels (job boards, LinkedIn, networking, and referrals) to build a strong talent pipeline. Manage the Applicant Tracking System (ATS) to post job openings, screen resumes, and track candidate status; ensure the ATS (e.g., Greenhouse or Lever) is updated with accurate information and communications.
•  Schedule and coordinate interviews for candidates at all stages (phone screens, technical assessments, panel interviews), working closely with candidates and interviewers to confirm availability, send calendar invites, and provide necessary details or materials. Ensure candidates have a positive interview experience through clear communication and timely follow-ups.
•  Assist recruiters and hiring managers throughout the hiring process. This includes preparing job descriptions or postings, facilitating pre-employment tests or background checks, collecting candidate documents, and supporting the preparation of offer letters. Act as a point of contact for candidate inquiries and provide recruiter support to keep the hiring process running smoothly.
•  Track and maintain recruiting metrics and data such as candidate pipelines, time-to-fill for positions, source of hire, and diversity statistics. Prepare regular updates or dashboards on hiring progress and insights to inform the leadership team and suggest improvements to our recruiting strategies.
•  Contribute to internal projects aimed at improving company operations and efficiency. Help plan and execute technical initiatives such as system migrations, process automation, platform integrations, or the implementation of new digital tools. Coordinate project tasks and timelines, assist with data migration or testing, and work with cross-functional team members to ensure successful roll-out of these initiatives.
•  Perform research and data analysis tasks to support various corporate initiatives and decision-making needs. This may involve researching new HR or recruiting tools, compiling salary and market data, benchmarking best practices, or gathering information to solve administrative challenges. Compile findings into clear reports or presentations and present recommendations to leadership.
•  Provide broad administrative and project support to the corporate team and executive leadership as needed. Ensure high-priority tasks and projects are well-organized, deadlines are met, and all relevant parties are kept informed. Proactively identify opportunities to improve internal processes and take initiative to implement solutions that enhance our day-to-day operations. Business Development Administrative Support
• Capture & Proposal Coordination : Provide administrative support to the BD team during capture planning and proposal development phases. Assist in preparing templates, tracking proposal requirements, and coordinating inputs across departments.
• Pipeline Support : Maintain and update BD trackers, spreadsheets, and CRM systems to ensure accurate visibility into opportunities, status, and submission timelines.
• Formatting & Compliance Review : Help review proposals for formatting, basic compliance, and version control. Coordinate approvals and compile final submission packages.
• BD Communications : Draft internal communications and assist with the dissemination of BD updates, meeting recaps, and task reminders. Prepare presentation materials, organize BD folders, and help facilitate virtual meetings.
• Calendar & Meeting Support : Schedule and support BD-related meetings, including partner coordination calls, color team reviews (Pink/Red/Gold), and submission deadlines.
• Document Management : Ensure all proposal and capture documentation is well-organized in shared platforms for easy access and future reference.

Qualifications:
•  A minimum of 2-3 years of experience in an HR coordinator, recruiting support, or corporate administrative role, with hands-on exposure to both HR and talent acquisition functions.
•  Solid understanding of core HR processes (employee onboarding/offboarding, records management, benefits administration, basic labor compliance) and familiarity with recruiting lifecycle steps (sourcing, interviewing, selection, and hiring). Demonstrated ability to handle confidential HR information with professionalism and discretion.
•  Proficient with common corporate software tools, especially the Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
•  Experience working with HRIS platforms (e.g., isolved, Workday, ADP, or similar systems) and Applicant Tracking Systems (such as Greenhouse or Lever) is required.
•  Ability to quickly learn new software and digital tools; familiarity with using CRM systems or databases for contact management is a plus.
•  Exceptional attention to detail and accuracy in data entry, record-keeping, and document preparation.
•  Well-developed organizational and time management skills, with the ability to juggle multiple priorities and projects simultaneously without missing deadlines.
•  Excellent written and verbal communication skills.
•  Able to craft clear, professional emails and documents, and to communicate effectively with employees at all levels and with job candidates.
•  Comfortable coordinating across departments and facilitating meetings or discussions when needed.
•  A self-starter attitude with a proactive approach to identifying needs and improving processes.
•  Capable of working independently with minimal supervision, anticipating issues before they arise, and taking initiative to propose solutions or streamline workflows.
•  Strong analytical mindset and curiosity.
•  Able to gather data from various sources, analyze trends or discrepancies, and present insights or recommendations in a coherent manner.
•  Experience in conducting research (for example, into new tools, policies, or best practices) and summarizing findings for decision-makers.
•  A collaborative team player who can build positive relationships with colleagues in HR, Recruiting, IT, and other departments.
•  Flexible and adaptable to changing priorities in a fast-paced environment, and able to maintain composure and efficiency when handling urgent requests or unexpected challenges.
•  Demonstrated ability to support projects or initiatives, preferably including exposure to technical or process improvement projects. This could include helping coordinate a new system implementation, participating in a software migration, or improving an internal procedure.
•  Strong task-tracking and coordination skills are essential. Preferred Qualifications
•  4-5+ years of progressive experience in a corporate administrative, HR operations, or recruiting coordination role. Prior experience in a consulting, technology, or government contracting company environment is a plus.
•  HR-related certifications (such as PHR, SHRM-CP, or equivalent) or ongoing education in human resources management. These demonstrate a commitment to the field and additional knowledge of HR best practices.
•  Experience with Human Capital Management System (HCMS) such as iSolve People Cloud or similar HCMS, and expertise in a leading ATS (Greenhouse, Lever, iCIMS, etc.).
•  Experience leveraging a CRM (Customer Relationship Management) system for recruiting or business development purposes would be advantageous.
•  Experience leading or significantly contributing to internal improvement projects - for example, serving on a team that migrated to a new HRIS/ATS, automated an administrative process, or rolled out a new company-wide tool.
•  Formal training or certification in project management or process improvement (e.g., CAPM, Lean Six Sigma Yellow Belt) is a bonus.
