The Opportunity We're hiring a People & Culture Coordinator. OPB is looking for a conscientious, friendly, team-oriented professional to join our P&C team. As the P&C Coordinator position, you would support day-to-day work of our recruiting and operations staff, as well as provide excellent customer service to potential, future, current and past OPB employees, and others. This position will report to the Director of People Operations and Data and work closely with other People & Culture colleagues including the Employee Experience Manager, Generalists, the Compliance Reporting and HRIS Analyst. Position Details Serve as a key player on our multi-faceted People & Culture team, managing and performing day-to-day activities that support the work of OPB. This includes HRIS (HR Information System) maintenance, compliance and administrative activities, data entry and supporting the People & Culture team. This position, along with the rest of OPB's People & Culture team, keeps our organizational values central to our work. The People & Culture Coordinator is tasked with looking for efficiencies in workflows, leveraging technology and providing excellent customer service to potential, future, current, and past OPB employees, and others.
Responsibilities 33% - Data Management
- Using our HRIS, enter and update employee data, execute workflows and notifications, create reports, enter additional info as requested.
- Accurately complete compliance-related reporting and notifications as assigned
- Working with Director of People Ops and HRIS Reporting and Compliance Analyst, continue to increase our utilization of HRIS (ADP), and propose changes in processes.
- Manage paper files, following applicable laws, regulations and OPB policy. Work with the People & Culture team to improve utilization usability of electronic personnel file storage
33% - Employee Support
- Provide excellent customer service for potential, future, current and past OPB employees.
- Maintain, track, and update position descriptions. Work with People & Culture staff and people managers to process updates and distribute correct versions.
- As needed, answer basic questions about OPB's benefits, employee programs, policies, practices and more. Triage and direct employees seeking support for more in-depth needs.
- Maintain People & Culture's communication channels, especially SharePoint sites and public-facing internet sites, ensuring information is easy to find, accurate and aligned with OPB's messaging and objectives.
- Support employee appreciation events like employee picnics and winter celebration.
33% - People & Culture support
- Assist People & Culture Generalists with duties like posting job recruitments in ADP Workforce Now, advertising openings in a variety of online resources, scheduling interviews, assist with new hire processes
- Track expenses, submit expense reimbursements. Help maintain documentation and records for all parts of People & Culture department.
- Support meeting logistics for department meetings, company-wide meetings and internal/external meetings.
- Execute internal approval and documentation processes
Working Conditions Work environment: Currently this position, works a hybrid schedule with 2-3 days in the office. Work is performed using standard office technology - primarily computers.
Schedule: This position typically works Monday-Friday, 8am-5pm though some flexibility of those hours may be available.
Physical demands: Moving boxes and/or supplies of up to 20 pounds (with the use of a cart) is sometimes required.
Minimum Position Requirements (Knowledge, Skills, Abilities and Attitudes): - Three full-time years of professional work experience in an administrative or office role(s).
- Ability to track multiple concurrent projects to prioritize work and meet deadlines with flexibility, accuracy and attention to detail.
- Strong computer skills including experience working regularly with Word and Excel and newer Microsoft programs, effective database skills transferable to HRIS (ADP Workforce Now), and the ability to learn new tools and systems. Attention to detail and a high degree of accuracy when entering and updating data.
- Ability to maintain appropriate professional business relationships, sometimes with elements of stress and/or confidentiality, with colleagues, vendors, partners and members of the public.
- Ability to work independently and evaluate situations using sound judgment and critical thinking skills.
- Ability and willingness to perform support tasks (i.e.: data entry, filing, tracking expenses, submitting expense reimbursements, arranging for meeting set up and refreshments, etc.).
- Enthusiasm for the mission of OPB.
Preferred Position Requirements (Knowledge, Skills, Abilities and Attitudes): - Experience in human resources and/or coursework in human resources or related field.
- Experience with creating and updating SharePoint sites for internal company communications.
- Experience using a CMS to update public-facing internet sites.
- Professional experience in an organization with at least 150 employees.
- Work experience in a nonprofit setting.
Additional Information - This position reports to the Director, People Operations and Data, is unrepresented benefits eligible.
- The probable hiring range for this non-exempt position is between $24.52 - $26.44, depending on qualifications.
