ArtCenter College of Design is searching for an experienced Coordinator, Enrollment Management to join our team.

The salary range for this position: $28.58 - 29.67 (35-hour work week)

Reporting to the Associate Registrar and Director of Enrollment Services Operations, the coordinator provides day-to-day administrative support for the division of Enrollment Management, consisting of the College's Admissions, Financial Aid, Enrollment Management, and Center for the Student Experience departments. This role is a frontline-facing, on-campus position providing excellent customer service and information about the division to current students, prospective students and their families, and applicants to the College. The incumbent is also responsible for managing specific administrative tasks across the division to ensure excellent student experiences and effective operations.

This is a full-time on-site position and with the following schedule: Monday-Friday 8:30 a.m.-4:30 p.m. The position may require flexibility to work a staggered, remote or alternate schedule to meet the demands of the work, which could include weekends or evenings.

Essential Functions

Administrative Support - 50%
  • Provide administrative and clerical support to the department including, but not limited to, processing of incoming mail, email and delivered packages; scanning; photocopying; filing; communicating messages
  • Serve as in-office reception, providing information to guests, students, prospective students and their families, and applicants by telephone, email, and text message to ensure all questions are answered directly or directed to the appropriate staff member to ensure excellent experience
  • Manage general departmental email in-boxes as assigned and answer general departmental phones
  • Schedule counseling and/or student appointments as appropriate, logging interactions in prospect/student records as appropriate
  • Provide event logistical support by coordinating all arrangements such as AV, signage, catering, photography and parking; and coordinate and prepare event-day activities for division events and meetings
  • Assist with calendaring and scheduling in Outlook and Slate database including, but not limited to, daily scheduling coordination for departments as assigned, confirming Admissions review schedules with academic departments, and building calendar events in Slate
  • Provide calendar and scheduling assistance to the Senior Vice President of Enrollment Management and Student Affairs as needed
Materials Processing - 45%
  • Provide all information needed for the College's Student Health Insurance Program (SHIP), answer student questions and troubleshoot with the College's broker and plan provider as needed
  • Process Registration Exceptions, Course Drops, Leaves of Absence, Withdrawals, ACL requests
  • Process transcript requests (unofficial primarily)
  • Print ID cards
  • Issue locker assignments
  • Process verifications and address change requests
  • Supervise student workers
Non-Essential Job Functions - 5%
  • Serve on educational or college-wide committees, work groups, task forces and/or councils
  • Cross-train in procedures usually assigned to other staff and assist in times of absence or backlog as needed
  • Assist with coordinating student orientation program and recruiting events
  • Other duties as assigned
Required Qualifications:
  • High school diploma or GED equivalent
  • 3-5 years of prior experience providing administrative support in an office or general administrative environment
  • Ability to maintain good working relationships with various internal and external stakeholders related to the ongoing operations of the facility, including professional associates, outside partners, administrators, faculty, staff, students, and alumni
  • Strong organizational time management skills, detail-oriented, highly organized, able to balance priorities, reliable and resourceful
  • Takes initiative to complete work accurately, check work thoroughly, and anticipate potential issues for internal and external constituents
  • Demonstrated punctuality to open/close physical office and phones according to office hours and timeliness in completing work and responding to requests promptly
  • Ability to work independently and as part of a team
  • Effective oral and written communication skills, including conflict resolution, problem-solving in order to communicate with the campus community, contractors and vendors
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Ability to handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business
  • Demonstrated experience in cultivating an inclusive, respectful, and welcoming environment into workplace practices within ArtCenter's diverse communities
Preferred Qualifications
  • Bachelor's degree from an accredited college or institution
  • Appreciation of the Arts
  • Prior work experience in higher education
  • Experience using Slate client relationship management (CRM) and Colleague student information systems (SIS) databases

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to the nature of the work environment, there is regular exposure to fumes, dust and noise.

Physical: The position is generally sedentary. Employees sit most of the time, but may walk or stand for brief periods of time. Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 20 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.

Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.
