Job Summary As a Contracts Administrator and Paralegal, you will oversee the complex processes involved with Select National Account (SNA) and Commercial Account contracts, as well as managing the Request for Proposal (RFP) process. This role includes collaboration with attorneys and both internal and external business personnel. You'll facilitate all types of contracts, handle non-disclosure agreement (NDA) requests, and manage our contract management database as the primary point of contact for users. You will ensure all contract information is accurately maintained and provide weekly status reports regarding SNA, Commercial Accounts, and RFPs to senior leadership. Additionally, you'll maintain all Servpro form agreements and checklists, making revisions as needed.
You will also complete special projects and actively support the Legal Department's key initiatives as well as the Strategic Plan.
Major Duties and Responsibilities - Manage the SNA, Commercial Account, RFP, and NDA contract processes, including scheduling meetings, preparing minutes, negotiating contracts, handling revisions, and generating status reports.
- Serve as the administrator and main contact for the contract management database.
- Provide administrative and customer service support for assigned tasks.
- Complete special projects as assigned within the required timeframe.
- Handle general department administrative duties, responding to calls and emails from internal and external clients.
- Maintain organization through managing your daytimer and Outlook tasks.
Required Qualifications - Proficient in oral and written English to communicate clearly and professionally with employees, customers, and suppliers.
- At least five (5) years of experience in paralegal work, specifically in contract administration and office support. Proficiency with Microsoft Office, Excel, and PowerPoint is essential. Must type at least 60 words per minute and have experience using Lexis for legal research.
- Able to manage complex contract processes involving key clients and multiple internal departments while meeting tight deadlines. Strong understanding of general contract terms and conditions is required.
- Excellent written and presentation skills, along with basic math and decision-making abilities. Strong organizational and multitasking skills in a fast-paced environment.
- Training and experience should encompass managing critical contract processes, preparing general contract terms, and demonstrating administrative and organizational skills.
Education - High School diploma with a minimum of 2 years of college education, including a Paralegal Certification.
Working Conditions - Fast-paced and high-pressure office environment.
- Standard working hours based on a 40-hour work week.
- Additional hours may be required to complete tasks and projects on time.
- Minimal travel may be required as necessary for business purposes.
