SUMMARY

The Contract Specialist is responsible for ensuring compliance with the terms of local and national facility contracts across all USRC locations. This role serves as the primary point of contact for USRC locations, assisting with supplier-related issues, including utilities, facilities management, account set-ups or closures, and other facility services. The Contract Specialist will provide expertise on contract adherence, working closely with third-party vendors to ensure they fulfill their obligations and promptly address any service-related needs or discrepancies reported by USRC locations. This is a Hybrid role - 4 days remote and 1 day at our Plano, TX Corporate office.


Essential Duties and Responsibilities include the following. Other duties and tasks may be assigned.


  • Serve as the primary contact for USRC locations regarding compliance with local and national facility contracts, ensuring vendors meet agreed-upon terms.
  • Assist locations with supplier-related issues, including service disruptions, billing discrepancies, and compliance with contract terms.
  • Oversee account setups and closures for facility acquisitions and divestitures, ensuring a smooth transition with vendors.
  • Collaborate with Accounts Payable and Facility Maintenance teams to cross-reference payments against contract terms and identify discrepancies.
  • Research and resolve issues related to contract compliance, service fulfillment, and vendor obligations.
  • Provide data analysis and reporting on contract adherence, spend data, and vendor performance trends.
  • Assist in reviewing, processing, or facilitating contract documents, order forms, or amendments to resolve service-related issues.
  • Maintain and manage a centralized contract repository, ensuring contracts are accurately recorded, easily accessible, and up to date.
  • Generate and distribute contract-related reports as needed to support decision-making and compliance tracking.
  • Review and analyze local facility contract terms to ensure they align with company standards and escalate concerns when necessary.
  • Work closely with Facility Management to ensure contracts are appropriately followed and assist in addressing service or performance issues with vendors.
  • Identify and report non-compliance instances where a national contract should be used instead of a local vendor, assisting in corrective actions.
  • Conduct periodic reviews of supplier performance and contractual adherence, escalating persistent issues to leadership.
  • Support training efforts for internal stakeholders on contract processes, including contract retrieval, issue resolution, and reporting.
  • Maintain professional relationships with vendors and internal stakeholders to facilitate effective issue resolution and contract compliance.
  • Responsibilities include direct contract and cost negotiations with vendor, contract approvals, or conducting a supplier selection process (Request for proposal- RFP) based on business needs.
  • Ensure adherence to company policies, procedures, and compliance standards in all contract-related activities.
  • Regular and reliable attendance is required for this position.

Qualifications/Requirements:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Requirements include:

  • Bachelor's degree in Business, Supply Chain, or a related field preferred; an equivalent combination of education and relevant experience will be considered.
  • Two or more years of experience in contract administration, vendor management, procurement, or a related field.
  • Familiarity with contract compliance, service agreements, and vendor issue resolution, preferably in a multi-location environment.
  • Strong attention to detail with the ability to analyze contract terms, identify discrepancies, and ensure adherence to agreements.
  • Ability to effectively communicate with internal stakeholders, vendors, and service providers to resolve contract-related issues.
  • Strong analytical and problem-solving skills with the ability to track, report, and follow up on supplier compliance and performance.
  • Customer-service-oriented mindset with the ability to manage multiple priorities in a fast-paced environment.
  • Experience with contract repositories, database management, or procurement tools is a plus.
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook; ability to quickly learn company-specific applications.
