Contract Administrator
Job Description
Job Purpose:This position administers and reviews all contracts from a legal and business perspective; ensures compliance of contracts and requisition with MVSU policies and procedures; performs post-contract administration activities; ensures vendor compliance; tracking of Key Performance Indicators (KPI's), renewal dates, and maintains organized records.
Accountability:
Reports to the Office Manager and to the Vice President for Facilities.
Essential Job Functions :Review and proof contract documents; Process requisitions for all approved contracts and monitor the approval process; Attend Title III meetings and take minutes; Retain files and all supporting documentation of projects related to Title III; Keep the space utilization report updated; Record incoming correspondences, receive calls, schedule appointments, and meetings; Generate reports and documents as needed for the Director of Facilities Management and Office Manager; Assist with coordinating and performing work control duties for the Facilities Management department including keeping the WebTMA System record updated with current users in the system; Maintain the weekly schedule of events for the Support Staff; Provide administrative support for all units in the Department of Facilities Management.
Non-Essential Functions /Secondary Duties & ResponsibilitiesAttend department staff meetings as required. Ensures information regarding mandated reports to IHL are completed and submitted on time. Receives and prioritizes internal requests for data reports and information. Take the lead on any data management projects that develop, as required.
Assist with weekly campus alert program. Type weekly schedule and distribute to Executive Staff, hold weekly meetings with Alert members and record all alert hours in manual. Assist the Payroll Clerk as needed. Performs other non-essential and departmental duties as assigned by the VP for Facilities Management and/or Office Manager.
Required Qualifications
Bachelor's degree in related field preferred with at least one year of collegiate experience in administration and must be computer literate. Must show initiative, handle multiple tasks, and be a highly motivated self-starter.
