Our client, a biotechnology firm, is hiring a Contracts Administrator to join their team. The legal assistant will provide support to the in-house legal department and will work closely with attorneys and paralegals to ensure the smooth operation of our legal functions. Responsibilities:
- Administer and manage contract lifecycle in the CLM system, including processing contracts through execution, running CLM reporting, tracking expiration dates, and proactively consulting internal business partners about contract renewals
- Maintain accurate and up-to-date contract records and documentation in accordance with company processes in the CLM system, and escalate issues to the Legal team as needed
- Provide day to day administrative support to legal professionals, including scheduling meetings, managing calendars, making travel arrangements.
- Assist in the organization, filing, and maintenance of legal documents and contracts. Ensure that all documents are accurately filed and easily accessible.
- Maintain and update legal databases, track contract status, to-do list items, generate reports, and improve contract workflows and processes.
- Prepare, manage, update, and maintain contract templates
- Correspondence: Draft, proofread, and format legal correspondence, reports, and other documents.
- Communication: Serve as a liaison between the legal department and other company departments as necessary.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
- Assist Executive Assistants with tasks as requested.
- Perform all activities in compliance with applicable regulations, policies and guidelines, including, but not limited to, timely documentation of activities and maintaining all required applicable training.
- Bring a "can do" spirit to work and deliver on other responsibilities as assigned.
Requirements:
- Bachelor's degree or relevant experience as a legal assistant, paralegal, or a similar role.
- Applicable experience in a law firm and/or biotech, pharmaceutical, life sciences, healthcare, or medical device industries preferred.
- Strong personal management skills emphasizing time management, attention to detail and organizational skills.
- Proficiency in Microsoft Office Suite and legal software.
- Ability to work independently and collaboratively in a fast-paced environment.
- Understanding of legal terminology and principles.
- Commitment to maintaining the highest standards of confidentiality and professionalism.
- Highly organized and detail oriented with a passion to deliver quality results.
- Excellent verbal and written communication skills.
