Job Responsibilities
Job Purpose:
Provide reception and administrative support for the Offices of Workforce & Continuing Education and Institutional Advancement.
Job Duties:
1.Daily Student Registration Support for Kozak Office of Workforce Development (Kozak/KOWD) by serving as the frontline, managing incoming email, phone, and walk-in registration requests.
2.Maintain the lobby/reception area and Kozak Office Suite by ensuring marketing materials are up-to-date and stocked in shared areas, department lobby is clean and presentable, and set-ups and/or displays are accurate and maintained, including the Kozak Conference room.
3.Serve as Receptionist for the Office of Institutional Advancement and Workforce Development/Kozak Office. Greet and triage visitors, provide directions to other Beaufort campus departments/areas, and refer guests to appropriate offices, as needed.
4.Handle correspondence: field incoming calls, address general inquiries via phone, email, and in-person, provide basic information, transfer calls and/or take messages for escalated inquiries and matters, and schedule appointments for KOWD.
5.Provide clerical support such as data entry (Donor Perfect and CE Programs), document preparation/management/printing (agendas, meeting notes or minutes, filling, and mailing). Maintain primary department calendar and provide calendar support to VP, maintain supplies and orders, aid with purchase orders, requisitions, and budget transfer for KOWD and Business and Workforce Solutions.
6.Provide additional administrative support for VP of Institutional Advancement and Director of Operations for the Virginia Kozak Office of Workforce Development as needed.
