Lead Accounts Payable Administrator
Do you thrive in a fast-paced, detail-oriented role that plays a critical part in keeping operations running smoothly? Our Accounts Payable team follows a proven system to process a high volume of invoices daily, ensuring seamless financial workflows for large-scale projects.

As a Lead AP Administrator, you'll be at the heart of our finance operations, working closely with vendors and internal teams to maintain accuracy, efficiency, and compliance. This role offers training, growth, and advancement opportunities in a collaborative, team-driven environment. Responsibilities:
  • Oversee the shared AP inbox, ensuring timely responses and invoice processing.
  • Manage vendor setups, including W9 collection and payment method verification.
  • Process check requests, priority payments, and specialized billing needs.
  • Export and import approved invoices into the accounting system.
  • Provide daily reports on outstanding invoices and AP trends.
  • Complete and update credit applications as needed.
  • Prioritize and track vendor discounts, guiding the team to maximize savings.
  • Lead issue resolution for vendor accounts and track potential disputes.
  • Train new and existing AP team members on reconciliations and best practices.
  • Review invoice aging, update compliance logs, and prepare for check runs.
  • Generate weekly check runs, ensuring accuracy in invoice approvals and reporting.
  • Print and process physical checks while maintaining financial documentation.
  • Track and process credit card and virtual payments, reconciling monthly statements.
  • Ensure AP deadlines for month-end close are met.
  • Maintain tracking logs for invoice image requests and financial reporting.

Ideal Candidate:
  • Trustworthy, detail-oriented, and comfortable in a fast-paced environment.
  • Strong communication and computer skills (Excel: Pivot Tables, Charts, Formulas; Word: Professional Documentation).
  • Highly organized, accountable, and adaptable to shifting priorities.
  • Construction industry experience is a plus.
  • Degree in Accounting/Finance or 2+ years of related experience preferred.
  • Familiarity with general accounting principles required.
  • Experience with construction accounting software (SAGE 300, Sage Paperless, HCSS) is a bonus but not required.
