A Project Administrator (PA) has general knowledge and understanding of commercial construction. A PA supports the project team by performing all administrative duties. Project Administrators continue to expand knowledge and take on additional tasks to support project management. A PA should produce quality work and demonstrate strong organizational skills. Having a positive attitude and taking initiative to support the project team is a must.

Requirements:

Proven work experience as a Project Administrator or similar role.

Possess experience in Construction, Job Costs, and Budgets.

Basic understanding of construction administration and construction terminology

Strong ability in using MS Office (MS Excel, MS Word, MS Project, and MS PowerPoint)

Proficient with Procore Construction Software - (Financials Certification preferred)

Effective multi-tasking ability, written and verbal communication skills, and ability to communicate effectively with all levels of management and industry professionals.

Excellent time management skills with a proven ability to meet deadlines

Strong teamwork skills. Must be able to maintain good relationships with department, peers, subcontractors, vendors, and owners.

Job Responsibilities include (but may not be limited to):

Set up and maintenance of all billing folders on server & Procore software

Collect and coordinate subcontractor invoices for Project Managers

Communicate with subs on billing revisions if needed

Track Preliminary notices

Assist PM's with monthly owner pay applications & attend meetings as needed

Accounting Department support

Collect supplier releases for joint checks and ensure all unconditional releases are collected

Reconcile subcontractor and supplier invoices to ensure timely payment along with final lien releases

Create, administer, and manage the full cycle of project billings, including creating spreadsheets, updating, and distributing, matching, and balancing approved change orders and subcontractor's billings, aligning, and comparing the project schedule and costs to date with line values. Package and submit to Owner as well as following up on collections.

Assist field supervisors and field activities by providing documentation and ordering necessary equipment.

Perform other duties as assigned

The pay range for this position of employment is expected to be between $24.00/hour and $35.00/hour. However, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. If hired, employee will be in an "at-will position" and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
